Medical Secretary Endoscopy
About the role
The Medical Secretary reports to the Practice Manager and oversees financial processes associated with patient services. Responsibilities include greeting patients, performing registration and check-in functions, answering phones, scheduling appointments, obtaining referrals and authorizations, processing forms, and managing the discharge process.

Responsibilities
- Oversees patient financial processes to ensure payments (co-payments, deductibles, self-pay) are obtained at time of service and properly processed.
- Verifies all necessary information is complete and accurate, including demographics, referrals, authorizations, billing codes, and diagnoses.
- Completes end-of-day batch reconciliation of patient schedules and time-of-service payments within established time frames.
- Provides clerical support, including orienting new employees on department policies and procedures.
- Maintains quality, safety, environmental, and infection control standards.
- Prepares paperwork for daily activities, including typing, faxing, filing, word processing, and computer operations using standard software.
- Answers incoming telephone calls, refers calls to appropriate personnel, takes messages, or responds to routine questions based on established guidelines.
- Interacts with internal and external stakeholders to explain department services, policies, and procedures.
- Maintains inventory and orders office and medical supplies based on usage patterns and budgeted allowance.
- Protects and preserves patient privacy and confidentiality.
- May travel to satellite offices to perform duties.
- Performs other related duties as required.
Requirements
- Completion of a two-year Medical Office Management/Medical Secretary program or equivalent experience in a physician’s medical office practice.
- Demonstrated knowledge and skills to provide care to patients across the life span, considering aging processes, human development stages, and cultural patterns.
- Two years’ experience in a physician’s medical office practice.
- Proficiency in English and computer appointment scheduling skills.
- Familiarity with medical office procedures and medical terminology.
- Excellent interpersonal and communication skills.
Work Environment
Healthcare environment such as physicians’ medical office practices and ancillary healthcare enterprises. Works with medical office equipment and has direct patient contact. Potential hazards are minimized by adherence to established safety procedures and precautions, including the use of safety equipment and protective clothing.
- Walks and stands intermittently throughout the day.
- May be exposed to electrical and energy hazards.
- May lift and position patients and lift supplies up to 50 pounds.
Incumbent functions independently within department policies and practices, referring specific problems to a supervisor only when clarification is needed.
Pay
$18.13–$29.90 per hour.
Schedule
Monday–Friday, 8:30 AM–5:00 PM (8 hours daily).
