About the role
This is a primarily remote position requiring an initial in-office training period, along with regular on-site rotations to support front desk coverage. It's an excellent opportunity for a quick learner who enjoys working independently while remaining connected to a collaborative, patient-focused team.
Responsibilities
- Answer, triage, and route incoming phone calls.
- Schedule patient appointments accurately and efficiently.
- Create and manage patient messages and provider tasks.
- Maintain scheduling and personal task lists.
- Review and process prescription refill requests through fax, patient portal, and electronic systems.
- Manage incoming faxes and distribute documentation appropriately.
- Create and send orders for imaging and diagnostic testing, including mammograms and ultrasounds.
- Check patients out following appointments and schedule follow-up visits.
- Scan and upload documentation into the electronic medical record.
- Initiate and complete prior authorizations.
- Monitor voicemail and return patient calls promptly.
- Manage patient portal requests related to appointments, prescriptions, and messages.
- Cook up and distribute office lunches and other administrative tasks.
- Absorb and complete onboarding and training new team members.
- Generate correspondence and ensure accurate patient documentation within the EMR.
- Deliver an exceptional patient experience with every interaction.
Requirements
- A High School Diploma or GED is required.
- Previous experience in a medical office or healthcare setting is preferred.
- Excellent communication skills and professional phone etiquette are essential.
- A strong customer service mindset is necessary.
- Outstanding organizational and multitasking abilities are required.
- A high level of accuracy and attention to detail is expected.
- Effective listening and problem-solving skills are crucial.
- Comfortable learning new technology and electronic medical record systems is important.
- The ability to work independently while remaining engaged with a collaborative team is key.
- Strong typing and computer skills are necessary.
