About the Role
The Medical Records Clerk performs clerical and administrative functions to support providers, medical staff, and medical support staff in delivering medical care. This includes managing patient referrals, maintaining accurate and organized patient records, and ensuring all written and electronic medical records are secure, complete, and readily retrievable. The role also involves assisting the Medical Records Manager with data collection, audit reports, and other assigned tasks.
Responsibilities
- Supports patient care delivery by assisting healthcare providers with clerical and administrative duties, including:
- Recording and documenting phone messages in phone logs and the EHR.
- Returning phone calls as required or directed by medical providers.
- Manages the Patient Referral Process (external and internal) as assigned.
- Handles NHA requests for information, release of information, and medical records requests from other healthcare providers, including:
- Verifying and documenting requests for information, releases of information, and medical records requests.
- Gathering information for such requests.
- Scanning, faxing, emailing, or mailing records to requesting agencies or physicians’ offices.
- Scans, indexes, and tracks laboratory work, procedures, testing, dictation, and medical data from hospitals, clinics, and physicians; ensures proper placement in the EHR.
- Assists with locating information and reports not found in the medical record.
- Pulls purged charts for audits as needed.
- Performs miscellaneous clerical duties such as copying, filing, phoning, emailing, faxing, and organizing; directs information to appropriate parties.
- Assists with transcription services for the Medical Department; may perform scribe duties if trained and assigned.
- Ensures accurate and complete documentation of care and treatment in the EHR to support revenue generation; completes insurance forms as requested and responds to insurance and third-party inquiries.
Requirements
- High school diploma or GED required.
- Medical records technician certification and/or current certified/registered medical assistant with a minimum of one year of experience in an office or clinical setting.
- Working knowledge of medical terminology.
- Knowledgeable of medical records practices, HIPAA, and utilization management.
- Ability to maintain patient confidentiality.
- Personal maturity and emotional intelligence to manage demanding and challenging clinical circumstances.
- Sensitivity to cultural, religious, and ethnic diversity.
- Effective organizational, communication, writing, and listening skills.

Schedule
This is a full-time, non-exempt position working 37.5 hours per week, Monday through Friday, with no weekends or holidays.
