Qualifications
- High school diploma or equivalent
- 2 years of medical scheduling experience
- English
- Bilingual (Preferred)
Responsibilities
- Greet callers warmly and serve as the first point of contact for patients
- Answer incoming calls promptly and manage phone systems (e.g., RingCentral)
- Perform front desk duties, including cross-training and maintaining punctual, reliable coverage
- Process incoming referrals and proactively contact patients to schedule appointments
- Schedule consults and procedures while accurately collecting and updating demographic and insurance information
- Confirm, cancel, and reschedule appointments as needed
- Use EMR systems and the Patient Tracker to align provider availability with patient needs
- Prepare and maintain required reports (e.g., sedation reports)
- Communicate effectively with providers, staff, and external offices regarding scheduling and patient needs
- Address patient concerns professionally and provide excellent customer service
- Perform additional administrative duties as assigned

- Strong verbal and written communication skills, with the ability to effectively interact with patients and clinicians regarding scheduling
- Able to multitask in a professional and courteous manner, including managing a multi-line phone system
- Excellent problem-solving and interpersonal skills, with a focus on patient satisfaction
- Demonstrates teamwork, flexibility, and a positive, professional attitude in all interactions
- Proficient in computer systems and software, including Microsoft Office and EMR systems
