Duties and responsibilities
- Welcome and greet patients/clients/visitors in a helpful manner.
- Properly check in all patients following clinic procedures and HIPAA requirements.
- Verify insurance and inform patients of any existing balances in the EMR system a week prior to their scheduled appointment.
- Obtain payment for in-office visits and document all financial transactions according to clinic standards.
- Set up and manage patient payment arrangements; track and monitor payments for accuracy and full payment.
- Perform day-to-day administrative tasks such as copying, filing, faxing, and data entry.
- Adhere to clinic policies on safety and security, keeping computer system passwords confidential.
- Follow privacy protocols in accordance with clinic policies and HIPAA requirements.
- Exercise problem-solving and conflict resolution skills when handling patient complaints; refer to appropriate personnel.
- Maintain patient waiting areas, office files, and front-desk areas in an organized manner.
- Receive and distribute incoming mail and packages as needed.
- Attend scheduled department and clinical meetings as instructed.
- Perform additional related duties as needed.
Qualifications
- Understand the importance of maintaining confidentiality under HIPAA and clinic policies.
- Able to maintain confidentiality under HIPAA and clinic policies.
- Able to exercise a high degree of diplomacy and provide excellent customer service and interpersonal communication.
- Basic math skills.
- Intermediate computer knowledge and intermediate to advanced phone skills.
- Able to effectively communicate via the telephone and in-person to better serve the needs of the clinic, patients, clients, and the community.
- Prior administrative or clerical experience in a clinical or community-based setting.
- A High School Diploma; additional qualifications may be a plus.
- Insurance knowledge.
Working conditions
- Operate computers, scanners, telephones, and other office equipment.
- Work a full 10-hour shift in an office medical setting starting at 7:00 AM.
- Wear appropriate dress code attire in accordance with company policy and procedures.
- Sit and stand for long periods of time.
- Minimal lifting required with a maximum of 50 lbs.
