Key Responsibilities
- Serve as the first point of contact by warmly welcoming clients, answering incoming calls, routing messages, and supporting visitor needs
- Coordinate provider schedules, manage appointments, and assist with client onboarding, including insurance verification, benefit authorizations, payment collection, and required documentation
- Maintain organized and up-to-date client records by managing new client charts, filing clinical paperwork, processing medical record requests, and completing case closures
- Auxiliary support medication management processes, including prior authorizations and insurance reauthorizations
- Aid in internal communications, marketing material preparation, and general office operations to help create a smooth and supportive environment for clients and staff
- Contribute to a positive team atmosphere by performing additional administrative tasks as needed
Qualifications
- High School Diploma or equivalent required
- Minimum of two (2) years of experience in an administrative assistant, receptionist, medical office, or related role
- Proficient in Microsoft Office Suite and/or Google Workspace; experience with Electronic Medical Records (EMR/EHR) systems preferred
- Knowledge of insurance processes and medical office operations is a plus
- Strong organizational skills, flexibility, attention to detail, creativity, and the ability to work independently
