About the Role

The Medical Office Specialist (MOS) is responsible for front desk coverage, including patient registration, check-in, co-pay collection, appointment scheduling, patient billing, and scanning records into the EMR. The role requires knowledge of medical terminology, strong organizational and communication skills, and the ability to adapt to flexible schedules and frequent interruptions while maintaining a calm and professional demeanor. The MOS must demonstrate reliability, tact, honesty, and discretion in maintaining confidentiality and successfully completing assigned tasks.

Responsibilities

  • Handle front desk operations, including patient registration and check-in/check-out processes
  • Collect co-pays and perform patient billing
  • Schedule appointments and manage patient records
  • Scan and upload documents into the Electronic Medical Record (EMR) system
  • Maintain confidentiality and professionalism in all interactions
  • Perform end-of-day cash balancing and charge reconciliation according to clinic protocol
  • Operate office equipment such as fax machines, copiers, telephones, and patient care testing devices (e.g., EKG machines)

Requirements

  • High School Diploma or equivalent (required)
  • Completion of an accredited Medical Office Assistant/Specialist program or Medical Assistant program (preferred)
  • Medical Assistant Certificate of Completion and/or one year of experience as a Medical Assistant or Medical Office Specialist (preferred)
  • Familiarity with medical terminology
  • Experience with patient check-in and check-out processes
  • Knowledge of general medical office procedures and end-of-day cash balancing

Skills

  • Proficiency in basic computer programs and operating systems, such as Microsoft Office
  • Excellent communication, organizational, and interpersonal skills
  • Ability to perform courteously and professionally in all interactions
  • Strong problem-solving and decision-making abilities
