Responsibilities
- Patient Receiving and Registration (50%)
- Receives and welcomes patients into the clinic.
- Interviews patients to obtain demographic and billing information and enters it into the computer.
- Accesses computer terminal to input, update, retrieve, and review patient demographic and billing data for new and established patients.
- Creates initial medical record for new patients and reviews new patient information.
- Obtains patient's signature on authorization forms.
- Generates daily schedules, prints encounter forms, and demographic information.
- Scans patient insurance cards for indexing into the electronic health record.
- Assists with running chart summaries for patients out of the EHR.
- Assists with indexing patient link medical, social, and family histories into the EHR.
- Telephones/Scheduling (40%)
- Answers incoming patient calls and handles appropriately, always following clinical protocols.
- Schedules same-day, follow-up, and acute appointments.
- Routes calls to nurses and physicians as appropriate.
- Other (10%)
- Collects payment at time of service, knowledgeable of managed care co-pays.
- Completes and maintains necessary receipt register.
- Responsible for depositing bank deposits at local bank per written protocol.
- Handles patient complaints according to established policies.
- Provides backup to other clinic business office functions.
Requirements
Credentials to be verified by placement officer:
- High school diploma or equivalent.
- Any one or any combination totaling one (1) year (12 months) from the following categories:
- Work experience comparable to that performed at the Medical Office Assistant level or in other positions of comparable responsibility.
- Work experience in a health care facility such as a doctor's, dentist's, or hospital's office involving record keeping, working with the public, direct patient contact, answering telephones, and working with medical terminology.
- Graduation from an accredited medical secretarial or paramedical program, such as nursing assistant, medical assistant, or medical secretary.
Skills
- Working knowledge of medical terminology.
- Knowledge of computers and data entry.

- Ability to perform simple calculations (such as adding, subtracting, and totaling).

Conditions of Employment
Pursuant to the State Universities Civil Service System, an out-of-state resident hired into this position must establish Illinois residency within 180 calendar days of their start date.
