Medical Assistant/Surgical Coordinator - Hartford County

Responsibilities

  • Work with physicians in scheduling all surgeries and necessary services.
  • Initiate surgical booking request via family/physician.
  • Schedule with OR, physician, family, and arrange pre-op physicals in Epic and with family.
  • Arrange specialty consultations, complete forms/requisitions, confirm insurance information in Epic, and obtain financial information.
  • Verify referral, obtain pre-certification/authorization, produce pre-claim for insurance company, meet and discuss financial responsibility with family, collect payment from family for physician fees, and submit surgical billing to billing service.
  • Notify physicians of any issues for review.

Administrative Support

  • Schedule and coordinate all patient appointments.
  • Answer and direct calls.
  • Process pre-authorizations and pre-certifications.
  • Prepare and file medical records.
  • Maintain confidentiality of patient information.
  • Support patient check-in and check-out processes.
  • Provides cross coverage for other administrative roles.

Clinical Support

  • Ensure efficient patient flow.
  • Prepare treatment rooms and equipment for patient examinations.
  • Provide procedural support following department-specific guidelines.
  • Interview patient and family to obtain chief complaint/reason for visit, vital signs, and allergy information.
  • Accurately record and/or update relevant patient information.
  • Perform daily Quality Controls (QC) for all Point of Care (POC) testing.
  • Obtain specimens, accurately perform and record patient POC testing per policy.
  • Under provider and/or RN direction, track and retrieve patient lab/diagnostic testing results.
  • Under provider and/or RN direction, perform the administrative functions of the patient prescription renewal process.

Departmental Support

  • Support medical record audits.
  • Clean and stock patient care rooms between patients.
  • Maintain appropriate inventories of all medical supplies.
  • Stock and maintain all patient-related forms and educational materials.
  • Utilize equipment appropriately and notify Practice Manager of equipment/facility break-down or damage.

Documentation

  • Document patient information on appropriate forms.
  • Demonstrate accuracy in basic data entry and data retrieval of paper/electronic patient records.

Other Related Activities

  • Performs other duties as may be assigned to promote the health, safety, and comfort of CT Children's patients and families.

Qualifications

  • Education: High School Diploma, GED, or equivalent; vocational training may substitute.
  • Vocational training includes completion of Medical Assistant training program approved by the American Association for Medical Assistants or American Medical Technologists or similar program provided by the military; completion of Certified Nursing Assistant Program (Connecticut certification preferred); Current BSN nursing student in an accredited program and having completed 2 years of study and “Fundamentals of Nursing” course.
  • No prior experience required.
