Medical Assistant/Clinical Service Specialist, Part-Time- Beachwood & Mentor, OH
About the Role
VIVO Infusion is seeking a dedicated and compassionate Medical Assistant/Clinical Service Specialist to join our team at our Beachwood & Mentor, OH locations. In this position, you will play a crucial role in our clinical operations by providing essential support to our medical team, patients, and the infusion center. This role requires working some days when no patients are scheduled, working independently to support administrative functions, and handling intake of medical deliveries as needed.
Responsibilities
- Performs a variety of patient care activities rendering quality care in accordance with standards of practice.
- Room clinic patients in person or virtually and update patient charts with required information.
- Communicate pertinent patient data to providers and nurses to ensure quality and continuity of patient care.
- Provide administrative and front-end support: greet patients, assist with scheduling, manage phone calls (incoming and outgoing), and process payments.
- Oversee and ensure efficient turnover of exam rooms.
- Assist provider in the exam room as requested.
- Collect, prepare, and submit ordered patient lab specimens as directed.
- Assist Patient Services team as needed to obtain prior authorizations for prescribed treatments and document them.
- Triage patient phone calls and messages and document them appropriately.
- Order and manage supplies under the direction of the manager.
- Disinfect and stock the exam rooms.
- Assist in obtaining records required for the patient’s chart.
- Demonstrate effective communication skills, reporting patient issues as needed throughout the treatment day.
- Follow company policies and CDC guidelines for infection control.
- Assist with proper handling and storage of hazardous materials.
- Maintain confidentiality of all company and patient records in adherence to HIPAA.
- Communicate schedule changes to the team and assist with rescheduling patients.
- Manage incoming mail and deliveries.
Requirements
- High school graduate or equivalent, required.
- Medical Assistant Certification, preferred.
- CPR/BLS, required prior to start date.
- Oncology or infusion experience, preferred.
- 1 year of experience working within a clinical environment, required.
- 1 year in an administrative, patient-facing, or customer service role, required.
- Phlebotomy and lab processing skills, preferred.
Skills
- Self-motivated with the ability to work independently as needed.
- Outstanding communication and interpersonal skills with the ability to communicate professionally and effectively with staff, patients, and physicians.
- Computer skills for electronic recordkeeping.
- Able to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals.

Pay
Pay Range: $20.00 - $25.00/hour
Bonus Plan Target: 5% Annually (Based on performance)
Schedule
Part-Time: 20-25 hours/week
Position Schedule:
- Thursday - Friday | 7:30am - 4:00pm
- Saturdays | 7:30am - 4:00pm
FLSA Status: Non-Exempt

Work Environment and Physical Demands
The work environment includes exposure to moving mechanical parts (medical equipment and machinery), fumes or airborne particles, and toxic or caustic chemicals. The noise level is usually moderate.

The employee must be able to stand, walk, talk, hear, and smell. Requires excellent visual acuity and manual dexterity. May require the use of safety equipment and PPE such as face shields, goggles, non-slip shoes, gloves, masks, and other protective garments and equipment.
