About the Role

The Medical Assistant – Back Office supports efficient patient flow and performs various aspects of the back office patient visit within their scope of practice.

Responsibilities

  • Support and monitor patient flow in the back office, including scrubbing appointments in advance to ensure necessary information is available.
  • Assist in distributing patients, including walk-ins, and keep patients informed of wait times.
  • Schedule patient appointments and follow up on "no-show" appointments.
  • Understand general front office workflows and support the front office when needed.
  • Review and update health records with patients, including current medications, medical, and surgical histories.
  • Obtain vital signs and patient data, and initiate follow-up for specialty care referrals.
  • Support dispensary functions, including prescription refills, logging medications, and handling pharmacy/patient calls.
  • Complete clinical forms required for patient visits (e.g., patient assistance programs, PM-160’s, Staying Healthy Assessment forms).
  • Maintain continuous communication within the patient care team.
  • Prepare instruments, set up exam rooms, and obtain consent for medical procedures.
  • Perform Quality Control of CLIA-waived screening equipment and conduct CLIA-waived screenings with proper documentation.
  • Administer injections, perform standing orders, and conduct clinical indicators such as immunizations, foot screenings, and tuberculosis screenings.
  • Perform specimen collection, preparation, labeling, and venipuncture procedures (if certified).
  • Obtain and process medical record releases and scan documents into the electronic health record system.
  • Document patient information in the electronic health record according to policy and training.
  • Prepare, stock, and monitor supplies in exam rooms and labs.
  • Discard biohazard waste and sharps, and perform weekly testing and cleaning of sterilization equipment.
  • Maintain the mobile health unit, including weekly cleaning, restocking, dumping the septic tank, and refueling.
  • Drive the mobile health unit to designated locations, maintain vehicle logs, and report safety or maintenance issues.
  • Assist disabled passengers and children into and out of the vehicle.
  • Adhere to PACE program policies and procedures if applicable, including regular attendance requirements.
  • Perform other duties as assigned.

Requirements

  • Effective June 1, 2026, candidates must possess work-related skills beyond high school, including formal written and verbal communication, computational, and computer skills.
  • Proof of high school completion with a minimum GPA of 2.5 or a GED with a minimum score of 162.5. Higher education degrees with a stronger GPA may substitute.
  • Two years of experience or successful completion of a medical assistant externship with Family HealthCare Network.
  • For Back Office Medical Assistants in the PACE program: One year of documented experience working with the frail or elderly population.

Skills

  • Ability to prepare complex documents in Microsoft Word, including tables, charts, and graphs.
  • Proficiency in Microsoft Excel for data compilation, including formulas, functions, and lookup tables.
  • Ability to create basic presentations in Microsoft PowerPoint.
  • Strong written communication skills for compiling reports, correspondence, and documentation.
  • Ability to convey technical information to non-technical audiences.

Licenses & Certifications

  • Medical Assistant (MA) Certification required; certification from a medical doctor may be considered.
  • Injection certification required; alternatively, a venipuncture, injection, and skin test certificate may be completed as part of initial job-specific competencies.

Physical Demands

  • Regularly required to stand, walk, and use repetitive hand movements for typing and grasping.
  • Frequently required to bend, twist, squat, climb, kneel, and reach above shoulder height.
  • Ability to lift, carry, push, or pull items up to 10 lbs (e.g., charts, medical supplies, small equipment).

Pay

Hourly rate ranges from $21.25 to $29.33.
