About the role
This Medical Assistant role supports a busy, multi-site medical practice by providing both clinical and administrative assistance to healthcare providers and patients. You will use ModMed as the electronic medical record (EMR) system, prepare patients for visits and procedures, manage patient documentation and insurance-related tasks, and help ensure smooth patient flow and efficient office operations across several locations in New Jersey.
Responsibilities
- Utilize ModMed EMR to accurately document and maintain patient medical histories, visit notes, and treatment records.
- Update and maintain patient charts, ensuring all information is complete, accurate, and confidential.
- Take vital signs and prepare patients for examinations, procedures, and diagnostic testing.
- Provide patients with clear information regarding treatments, medications, and post-procedure care instructions.
- Log medications, reconcile medication information with pharmacies, and update the computer system for MRI, CAT scan, and other diagnostic requests.
- Prepare patient charts ahead of scheduled appointments, identify missing forms, and ensure necessary documents are ready for patient visits.
- Support the call center function when needed, including handling inbound calls for scheduling and rescheduling appointments.
- Manage scheduling for patients both over the phone and face to face, including booking follow-up appointments before patients leave the office.

- Support fax operations between offices by receiving, sending, and ensuring that faxed documents are properly added to patient files.
- Verify patient insurance coverage, explain basic coverage details, and collect copayments at the time of service.
- Process insurance claims, create invoices, and assist in managing patient billing-related tasks as needed.
- Collaborate closely with healthcare providers and other staff to maintain smooth patient flow and efficient office operations.
- Interact with patients primarily in person, offering a professional, courteous, and supportive experience throughout their visit.
- Remain on-site until the last patient has been seen and checked out, even if this extends beyond the scheduled shift end time.
Requirements
- Previous Medical Assistant experience in a clinical setting.
- Hands-on experience working with electronic medical record (EMR) systems, specifically ModMed.
- Ability to take and record vital signs accurately and prepare patients for procedures.
- Strong attention to detail in updating and maintaining patient charts and medical records.
- Comfort with interacting with patients face to face for the majority of the workday.
- Ability to manage scheduling tasks, including booking and rescheduling appointments in person and by phone.
- Basic understanding of insurance verification, copayment collection, and claims or billing processes.
- Organizational skills to prepare charts in advance, manage documentation, and support multiple office locations.
- Reliability and flexibility to stay until the last patient leaves and to work occasional evenings and weekends as scheduled.
Qualifications
- Essential: Certification as a Medical Assistant (such as CMA) is preferred but not required; candidates with expired or outdated certifications are welcome.
- Prior experience with insurance processes and coverage verification is a plus.
- Ability to learn and adapt within a large but close-knit practice environment with multiple offices.
- Strong communication skills to explain treatments, medications, and post-procedure instructions clearly to patients.
- Team-oriented mindset and willingness to work closely with providers who are eager to teach and support professional growth.
