Medical Assistant and Patient Care Coordinator

Dermacare is proud to be the premier medical aesthetics and plastic surgery on the Southern Coast of California, with four locations! We are seeking an experienced Medical Assistant and Patient Care Representative to support Dermacare’s clinical, patient care duties, and Front Desk support – creating an exceptional impression and experience for every patient who walks through our doors. This role is essential in delivering a warm, polished, luxury-level experience rooted in trust, integrity, and outstanding patient care service. The Medical and Assistant and Patient Care Representative is responsible for patient flow, communication, and scheduling, while supporting a seamless, patient-focused clinical environment that reflects Dermacare’s high standards of care. This role is fully onsite, based at our Encinitas location.
Key Responsibilities
- Properly open and close each day according to Standard Operating Procedures
- Perform various clinical procedures such as preparing treatment rooms, sterilizing equipment, numbing patients, and assisting in treatments
- Effectively communicate treatment options along with benefits, potential side effects/complications, range of outcomes and alternatives to those treatments
- Greeting of all patients with a smile and enthusiasm
- Appointment Management: Accurately scheduling patient appointments, rescheduling, and canceling, checking in and out, pre-booking next appointments, and appointment confirmations, creating patient invoices for checkout
- Reward Point Management: Look up reward program points and/or sign up new patients prior to check out
- Answering phone calls timely with a keen understanding of aesthetic procedures, ensuring you can answer patient questions as well as manage all incoming text messages and responding promptly within 15 minutes
- Patient education including answering patient questions, providing details on company programs such as memberships, loyalty, referral programs, and discussing in-office promotions
- Encouraging satisfied patients to write reviews, achieving goal of 5 reviews per month on Google
- Ensuring patient flow and experience is optimized at all times, including office and facilities are clean and staged
- Organization of treatment rooms and ensure necessary supplies and equipment are stocked as needed
- Upselling products or retail
- Execute any additional tasks and projects delegated by management
- Support administrative tasks including data entry, reporting, and inventory-related workflows as
- Support marketing and reputation-building initiatives, including requesting and collecting online reviews
Position Requirements
- 1–2 years of experience in a medical aesthetics, skincare, spa, or healthcare
- Experience as a Medical Assistant, preparing treatment rooms, sterilizing equipment, numbing patients, and assisting in treatments
- Experience in Front Desk roles and support
- Be friendly, energetic and relatable, and reliable
- Excellent customer service and professional communication skills and experience
- Excellent computer skills prior experience with PMS/EMR systems, phones, consultation tools preferred
- Dress professionally. Hair, makeup, and nails should be professional
- Must be detail-oriented and have ability to multi-task
- Be a team player, taking initiative on tasks and upholding one team belief
- Able to be efficient and productive in a fast-paced environment
- Basic math proficiency
- To work independently and possess a solution-oriented mindset
- Willing to regularly attend, participate in and support training and team meetings
Physical Demands
- Prolonged periods of computer and phone use
- Occasional standing, walking, bending, and lifting up to 15 pounds
- Frequent interaction with patients and staff in a dynamic clinical environment
Computer Skills Required
- Word Processing (MS Word)
- Spreadsheets (Excel)
- Client database (including scheduling and maintaining client info)
Education and Experience Required
- High school diploma required
- Vocational or Technical training preferred
- One (1) to two (2) years previous experience in the skin care industry
- Proven track record for developing and retaining client/patient relationships
