About The Role

We are seeking an experienced Medicaid Coordinator to oversee and support business office operations in our skilled nursing facility. This role works closely with the Administrator to ensure accurate billing, accounts receivable management, resident trust oversight, and compliance with Medicaid, Medicare, and other third-party payer requirements.

Key Responsibilities

  • Prepare and submit Medicaid, Medicare, and third-party insurance billings in coordination with an outside billing company
  • Follow up on delinquent payments and manage the accounts receivable process
  • Prepare monthly resident statements and billing reports
  • Accurately maintain census data including admissions, discharges, transfers, and daily census
  • Maintain financial records including cash receipts, disbursements, accounts receivable/payable, and payroll journals
  • Reconcile facility cash accounts and resident trust accounts
  • Maintain resident trust funds, including daily petty cash reconciliation, monthly reconciliations, and quarterly statements
  • Participate in the admissions process by explaining facility rates, billing cycles, and payment terms to residents and families
  • Collect initial payments at admission as required
  • Ensure all documentation meets state, federal, and company guidelines
  • Attend department meetings, trainings, and workshops as needed
  • Supervise and support business office clerical staff, as assigned
  • Complete special projects and additional duties as assigned

Qualifications

  • Bachelor’s degree in Business or related field or equivalent experience in long-term care
  • Minimum 3 years of related experience (long-term care preferred)
  • 1–2 years of supervisory or office management experience
  • Knowledge of Medicaid and Medicare billing strongly preferred
  • Strong Microsoft Office skills (Excel, Word, Outlook)
  • Excellent verbal and written communication skills
  • High level of professionalism with strict attention to confidentiality
  • Strong organizational, analytical, and problem-solving skills
  • Ability to manage multiple priorities with minimal supervision
  • Customerservice oriented with the ability to work under pressure

Physical Requirements

  • Ability to sit for extended periods and work at a computer
  • Frequent typing and computer use
  • Occasional lifting up to 25 pounds
