About the role
Reports to the Practice Manager and works under the direction of the Clinical Supervisor, Office Supervisor and/or Office Coordinator. Performs various reception, clerical and patient care duties.
Responsibilities
- Greeting patients and visitors professionally and providing assistance.
- Answering the telephone and taking messages.
- Scheduling patients with physician providers and maintaining appointments.
- Collecting demographic and insurance information and entering it into the practice management system.
- Maintaining patient records, entering charges and posting services.
- Ordering prescription refills and sending them for approval.
- Scheduling medical testing, procedures, ancillary services and surgeries.
- Providing patient instructions for scheduled procedures and follow-up with written instructions.
- Obtaining insurance pre-certification and completing electronic medical record flow sheets.
- Paging physicians and sending call status and imaging assignments.
- Entering data into specialty computer programs and monitoring orders.
- Faxing, copying, typing notes and memos.
- Ordering office supplies and maintaining inventory.
- Opening and sorting mail daily.
- Assisting physicians in the absence of clinical staff.
- Escorting patients to exam rooms.
- Performing surgery and procedure scheduling duties.
- Preparing surgery schedules and handling corrections.
- Scheduling all surgery related appointments and testing.
- Providing instructions related to pre-operative, post-operative needs, appointments, medication adjustments and completing the associated documentation.
- Following multiple surgeon protocols and tracking clearances and testing results.
- Tracking imaging studies and importing them to PACS.
- Handling equipment, supplies and implant requests according to departmental policies.
- Contacting vendors to cover surgical cases and updating them.
- Completing the surgical order process and organizing records for surgery.
- Ensuring pre-certification guidelines are met for diagnostic testing and surgical procedures.
- Ensuring medical necessity is documented by complying with scheduling criteria for all insurance carriers.

Education and Experience
- A high school diploma or equivalent is preferred.
- A minimum of 17 years of age.
- Previous related experience in a healthcare/clinical environment, admitting department, physician office practice or scheduling office is preferred.
- Knowledge of medical terminology and coding is preferred.
- The ability to speak and write Spanish is desired.
