About the Role

Under the general supervision of the Practice Manager, this position is responsible for assisting Physicians, Advanced Practice Professionals, and the practice team with direct and support-related patient care while treating patients in a respectful, confidential, and friendly manner.

Responsibilities

  • EMR Utilization Functions:
    • Utilizes the current Electronic Medical Record (EMR) to complete documented Best Practice Workflows accurately.
    • Documents and updates the patient's medical history within EMR guidelines, including vital signs, past medical history, social history, surgical history, and family medical history.
    • Completes the daily work list (order tracking, tasking, document import) to provide timely care and response to patients.
    • Ensures compliance in all regulatory item collection.
  • Clinical Support Functions:
    • Completes chart prep as required.
    • Performs pre-visit planning/chart preloading in accordance with established guidelines, including obtaining records from specialists, emergency department visits, hospital stays, and primary care to ensure an efficient visit.
    • Prepares examination rooms with needed supplies, instruments, and equipment; maintains rooms in a clean, professional, and welcoming manner.
    • Greets patients professionally and escorts them to exam rooms while explaining the rooming process.
    • Prepares, instructs, positions, and drapes patients.
    • Ensures the Provider stays on schedule, accounting for emergencies and unexpected interruptions.
    • Prepares specimens with documentation for processing in accordance with Laboratory regulations.
    • Cares for, cleans, and sterilizes equipment per instructions or established procedures.
    • Orders medical supplies, medications, and immunizations; keeps exam rooms and bathrooms stocked.
    • Disposes of used supplies properly and follows infection control and biohazard policies.
    • Calls orders to pharmacies for medications using the approved prescription refill policy under Provider supervision.
    • Completes and processes referrals, pre-certifications, or pre-approvals as needed.
    • Performs EKGs and other tests ordered by the Provider in accordance with CLIA-waived regulations.
  • Patient Access Functions:
    • Accepts and returns patient calls under the supervision of the nurse or Provider, using appropriate telephone etiquette.
    • Schedules appointments and processes orders for patients, including procedures, tests, referrals, and consultations as requested by the Provider.
    • Serves as a backup to the Patient Access Coordinator, assisting in all functions to promote efficient office flow.
  • Organizational Expectations:
    • Attendance: Comes to work daily, on time, and completes scheduled shifts.
    • HIPAA: Maintains patient confidentiality.
    • Internal Communication: Contributes to positive team performance and a culture of service excellence through effective communication, active listening, and respect.
    • Interpersonal Relationships: Maintains appropriate relationships with staff, patients, and visitors; works as a team member with other departments.
    • Safety: Practices workplace safety daily.
    • Employee Engagement: Actively participates in hospital Service Excellence initiatives and trainings; attends and participates in at least 50% of department staff meetings and reviews 100% of meeting minutes; completes all required annual education on or before the due date.

Requirements

  • BLS (Basic Life Support) certification required.

Skills

  • Minimal physical effort required with occasional light lifting (up to 25 pounds), stooping, and fine motor skills (e.g., typing, pinching).
  • Ability to effectively manage considerable mental stress.
  • Ability to express or exchange ideas verbally and receive detailed information through oral communication.
  • Ability to communicate effectively with co-workers, conveying information clearly and accurately.
  • Familiarity with computers and other business machines.
