About the Role
Under the direction of the Director of Purchasing, the Material Processor is responsible for receiving and distribution functions, including managing patient and non-patient charge supplies, inventory, non-inventory purchases, and general warehouse/stockroom duties.
Responsibilities
- Perform receiving functions:
- Inspect and verify quantities and conditions of delivered packages before accepting shipments.
- Note damages and quantity variances on shipping documents and notify the Purchasing Coordinator immediately.
- Generate and reconcile receiving documents with packing lists, entering quantities into the computer system.
- Receive all items into the computer system on the day of delivery.
- Attach and file packing slips and receiving documents daily.
- Refill Pyxis Supply Stations:
- Inventory Pyxis units weekly.
- Refill critical low and stock-out bulletins three times daily.
- Analyze and adjust Par Levels for Pyxis Supply Stations.
- Manage loading dock and shipments:
- Remove all packages and shipments from the loading dock and secure them in the Purchasing Department at the end of each shift.
- Process all packages and shipments on the day of delivery.
- Open and examine packages before delivery to end-user departments.
- Notify appropriate individuals of gifts or prizes exceeding $25.00 in value.
- Notify Engineering Service of new equipment for electrical checks.
- Assist with invoicing discrepancies related to quantities shipped and received.
- Distribute patient and non-patient charge supplies:
- Perform daily physical counts of departmental and nursing sub-inventories.
- Create pick lists and replenish stock to established par levels based on physical counts.
- Deliver and distribute replenished stock items to departmental and nursing sub-inventories.
- Enter charges onto patients' bills for chargeable supplies.
- Generate lost charge reports and assist in locating lost charges.
- Print and attach charge labels to chargeable supplies.
- Obtain sterile reusable supplies from Sterile Processing and assemble procedure trays.
- Adjust departmental and nursing sub-inventory levels based on usage.
- Distribute inventory and non-inventory orders (special orders):
- Fill and deliver inventory requisitions on the same day of request.
- Monitor back-ordered items from inventory.
- Acquire signatures on receiving documents from end-user departments for non-inventory purchases.
- Deliver non-inventory purchases to end-user departments on the same day the order is received.
- Deliver goods and orders to off-campus buildings and departments.
- Maintain professional behavior aligned with LMHS’s Mission, Vision, Standards of Behavior, and Service Goals.
- Establish effective relationships with LMHS personnel and customers to address specific needs.
- Process goods for return to vendors:
- Obtain return authorization numbers and ensure proper insurance coverage.
- Notify delivery companies (UPS, FedEx, commercial carriers) for pickups.
- Maintain a tracking system for returned packages.
- Ensure general storeroom/warehouse functionality:
- Rotate stock to prevent outdates and monitor expiration dates.
- Maintain cleanliness of the department, including sweeping/vacuuming floors, cleaning the loading dock, shelving, and transport carts.
- Report stock shortages or stock-outs to the Purchasing Coordinator.
- Process outgoing and incoming mail efficiently and in accordance with USPS regulations.
- Assist in training new employees.
- Perform additional assigned responsibilities as needed.
Requirements
- High school diploma or equivalent.
- Basic knowledge of purchasing practices, typically acquired through six months of on-the-job training.
- Valid Ohio motor vehicle operator’s license; high-risk operators do not qualify if required to operate an LMH vehicle.
- Ability to read, write, and perform arithmetic functions, including decimals and fractions.
- Strong communication skills to interact professionally with a variety of individuals.
- Proficiency in material, equipment, and time management.
- Forklift certification required before operating a forklift.
- Ability to work effectively with the Health Systems computer system; basic computer skills preferred.
- Willingness to complete annual education related to specialty certifications and standards as required by LMHS’s accreditation (DNV and TJC).
