Key Responsibilities
- Coordinate operational workflows across Marketing, Sales, Listings, Lending, Construction, and Operations.
- Design, document, and continuously improve end-to-end marketing workflows.
- Standardize marketing intake, approvals, campaign execution, publishing, and reporting processes.
- Maintain visibility into project status, priorities, dependencies, and deadlines.
- Identify workflow bottlenecks and recommend scalable process improvements.
- Support the Marketing Operations Analyst by ensuring field execution aligns with campaign priorities and operational timelines.
CRM & Marketing Systems Administration
- Own the structure, maintenance, and optimization of Zoho CRM marketing workflows, automations, and lead pipelines.
- Maintain lead routing, lifecycle tracking, tagging, and campaign attribution.
- Ensure CRM data integrity and consistency across marketing systems.
- Support implementation of automations that improve marketing and sales efficiency.
- Partner with Sales and leadership to improve lead handling and conversion processes.
Marketing Analytics & Business Intelligence
- Define, maintain, and monitor marketing KPIs across every marketing channel.
- Build executive dashboards for weekly, monthly, quarterly, and annual reporting.
- Consolidate data across: CRM, Paid Media, Organic Social, Website, Email Marketing, QR Codes, Phone Calls, Listings, Events, Community Activations, Sales attribution.
- Analyze campaign performance and identify trends, risks, and opportunities.
- Translate marketing data into actionable recommendations for leadership.
- Develop executive-ready reports that connect marketing performance to business outcomes.
- Support forecasting and budget reporting.
Data Integrity & Systems Integration
- Ensure CRM, reporting dashboards, content tracking, phone systems, website analytics, and marketing platforms remain aligned.
- Identify discrepancies in attribution, tracking, and reporting.
- Maintain reliable data across all marketing systems.
- Improve visibility into marketing performance through standardized reporting structures.
- Support implementation of new marketing technologies and integrations.
Cross-Functional Coordination
- Serve as the operational bridge between Marketing, Sales, Listings, Lending, Construction, IT, and Field Operations.
- Cook up initiatives requiring multiple departments.
- Maintain alignment between campaign priorities and operational execution.
- Escalate operational risks and execution gaps.
- Improve internal communication through standardized workflows, project management, and RACI documentation.
Operational Reporting & Executive Communications
- Prepare weekly, monthly, quarterly, and annual executive reports.
- Consolidate updates from Growth, Content, Creative, Listings, Analytics, and Operations.
- Present marketing performance in a clear, actionable format.
- Support leadership with business reviews and strategic planning.
- Continuously refine reporting based on organizational priorities.
Brand Ambassador & Customer Engagement
- Represent SWE Homes in customer-facing marketing initiatives, educational campaigns, and community activations.
- Participate in property tours, testimonials, educational videos, and company events.
- Capture customer feedback and market insights that improve marketing strategy.
- Support the Content team as an on-camera spokesperson when appropriate.
- Reinforce the SWE Homes mission of expanding access to homeownership through authentic storytelling.
Qualifications
- 3–6+ years in marketing operations, CRM administration, analytics, project management, or business operations.
- Experience with Zoho CRM or similar platforms.
- Experience building dashboards and executive reports.
- Strong Excel, Power BI, Looker Studio, Tableau, or similar reporting experience.
- Strong project management and workflow documentation skills.
- Comfortable communicating with executive leadership.
- Comfortable participating in customer-facing marketing initiatives and representing the brand when appropriate.
