Marketing Assistant

About the role

We are looking for a Marketing Assistant to support the planning and execution of engaging events in San Rafael, California. This Long-term Contract position is ideal for someone who enjoys coordinating details, working with multiple stakeholders, and helping deliver memorable experiences for community, promotional, and private functions. The person in this role will contribute to event logistics, communication, and on-site coordination while helping maintain accurate event-related information.

Responsibilities

• Coordinate logistics for a range of events, including community, charity, promotional, private, and high-visibility gatherings.
• Support event planning activities by organizing schedules, vendors, materials, and operational details to keep programs on track.
• Assist with live event execution by helping manage setup, on-site flow, attendee needs, and post-event wrap-up.
• Maintain and update event data, calendars, and related records to ensure accurate tracking and reporting.
• Collaborate with internal teams and external partners to align event objectives, timelines, and deliverables.
• Help prepare marketing and promotional materials that support audience engagement and event attendance.
• Monitor event milestones and follow up on outstanding tasks to ensure deadlines are met.
• Provide administrative and coordination support for large-scale events and other special initiatives as needed.

Requirements

• Experience supporting or coordinating events in a marketing, community, or promotional environment.
• Ability to manage multiple priorities and maintain strong attention to detail in a fast-paced setting.
• Strong written and verbal communication skills for working with teams, vendors, and event participants.
• Familiarity with organizing event-related information, schedules, and documentation accurately.
• Comfort assisting with live, large-scale, and high-profile events that may involve changing priorities.
• Detail-oriented approach to supporting private, charity, and public-facing events.
• Proficiency with standard office and coordination tools used for scheduling, tracking, and communication.
