Marketing Administrative Assistant
About the Role
This role collaborates closely with outside marketing teams and other internal departments to execute and promote Hyundai’s strategic marketing plan and tactics through all media channels—digital and traditional. The position involves website project management and administration, including content updates, design collaboration with outside web developers, website CRM integration, and management of the company store and related activities.
You will interact closely with senior-level leaders, dealers, vendors, and external agencies, serving as a liaison between dealers and the hosting company store. The role requires occasional overnight and weekend travel for marketing events and activities.
Responsibilities
- Assist new and existing dealers with marketing collateral, including new dealer start-up kits, accessing the dealer portal, ordering literature, and ensuring proper use of the website.
- Process dealer co-op submissions through the company portal and ensure all policies surrounding co-op are updated and circulated annually or with new dealer training.
- Maintain constant contact (email ASP) with dealers regarding current, future, and news updates, including bi-annual maintenance of the company dealer directory.
- Source or supply content from each department to an outside marketing firm for monthly newsletter creation and distribution to the dealer network.
- Collaborate with marketing team members on e-blast content, updates, and communications, including customer-facing e-blasts.
- Assist the National Account Director and Inside Sales Manager on monthly submissions to Sourcewell.
- Collaborate with an outside firm on Hyundai Material Handling branded items to ensure availability, quick turnaround, and adherence to corporate-approved logos and marketing guidelines.
- Audit, monitor, and consult directly with dealers to ensure adherence to Hyundai Corporate Brand Standards (logos, brand marks, colors, etc.) for consistent messaging across the distribution channel.
- Assist annually in coordinating Trade Show activities in alliance with an outside marketing company, including processing invoices in Docswave for payment and budget tracking.
- Work with senior leaders on arrangements to support dealers’ vendors and guests, including hotel, flight, or transportation logistics for a world-class Hyundai experience.
- Collaborate with internal departments to ensure the corporate website accurately represents company policies, goals, and priorities.
- Attend trade shows and coordinate training and customer events.
- Perform other duties and functions as assigned by the manager.
Requirements
- Proficiency in Microsoft Office programs, including Word, Excel, and PowerPoint.
- Maturity, flexibility, and professional skill sets.
- Passionate and positive attitude about marketing a worldwide brand, ensuring every impression is exceptional.
- Strong people and communication skills.
- College degree (required); graduate degree (a plus).
- Previous category experience (e.g., Forklift Industry) or work with dealer organizations (a plus).
Work Environment
The role is based in a non-smoking office environment with minimal physical demands—primarily sitting with computer and phone usage. Accommodations can be made for employees with disabilities. Travel is required on an "as-needed" basis, particularly during major marketing and sales events like trade shows, which may involve extended weeks, nights, or weekends outside of normal business hours.
Since this role reports directly to the COO, the candidate must be committed to working at a fast pace, pivoting as needed, and making sound decisions with minimal supervision.
