Manager, Practice Operations- Full Time, Days, AMG Pulmonology, Hackettstown NJ
Oversees daily operations at two pulmonology practices in Sparta and Hackettstown, including management of budgets, staff, scheduling, and workflows. Ensures compliance with organizational policies, supports financial and inventory controls, and drives service improvements. Leads hiring, training, and performance management while promoting a culture of quality, safety, and engagement. Collaborates with leadership to enhance operational efficiency, patient satisfaction, and team communication.
Responsibilities
- Oversee a single cost center in the Western region and assist the Senior Manager with budget adherence, monitoring, and preparation.
- Maintain financial accountability for day-to-day operations as outlined in the budget.
- Coordinate procurement of supplies and equipment, ensuring appropriate inventory management and budgetary controls.
- Comply with AMG financial policies and procedures related to cash collections, reconciliation, and cash controls.
- Develop office protocols for day-to-day operations and prioritize work to meet changing priorities with minimal supervision.
- Make timely decisions consistent with department objectives, policies, and procedures, and communicate them to leadership.
- Exercise independent judgment on basic or moderately complex issues related to the job.
- Manage team members, including hiring, termination, performance management, and results for the practice/department.
- Orient, train, assign, schedule, direct, and supervise departmental team members.
- Develop and implement the organization’s culture of quality, safety, ethics, privacy, security, and confidentiality with leadership approval.
- Implement company and departmental objectives.
- Make appropriate decisions using available resources to achieve positive outcomes for patients, visitors, and team members while balancing sound business practices.
- Recommend changes to current departmental systems and processes, contributing ideas for solutions to system problems.
- Respond to urgent, impromptu, and unplanned situations by assessing their importance and instituting appropriate action.
- Prepare incident/occurrence reports as necessary.
- Demonstrate working knowledge of all automated systems supporting daily operations and reporting.
- Ensure team members are proficient in automated systems and coordinate initial and ongoing training.
- Manage hiring, supervision, performance evaluation, and discipline for assigned team members fairly and consistently.
- Promote good employee relations and resolve departmental problems.
- Ensure the department is appropriately staffed and review, evaluate, and monitor work schedules, workflow, and duty assignments.
- Keep team members informed of the organization’s mission, objectives, and goals.
- Conduct monthly team member meetings to ensure open and constructive communication.
- Promote high employee engagement and a strong safety culture within the center.
- Work closely with team members and clinicians to develop and implement common priorities and goals for the department.
- Oversee implementation of system capabilities to support front-end operations and communication.
- Work with the Senior Manager, clinicians, team members, and customers to implement measures correcting service deficiencies.
- Review department practices, quality of work, and production schedules, making changes to improve services.
- Monitor templates/schedules for access and make recommendations to meet access standards.
- Monitor patient complaints and issues to identify opportunities for service improvement.
- Work effectively with other departments to solve problems.
Requirements
- High school diploma or equivalent (required).
- Bachelor’s Degree and/or Master’s Degree or equivalent combination of education/related experience (preferred).
- Prior physician practice management experience.
- Knowledge of healthcare/ambulatory care management.

- Works in a typical office environment with limited physical discomforts due to temperature, noise, or dust.
- Possible exposure to communicable diseases, hazardous materials, and pharmacological agents with minimal risk if established health precautions are followed.
- Work requires the ability to stand, walk, or sit for extended periods.
