Manager of Special Events
About the role
The Manager of Special Events oversees the execution, staffing and technical support of meetings and events in various university facilities. Key responsibilities include leading event support teams, managing event logistics, providing training, and ensuring adherence to safety and compliance regulations.
Responsibilities
- Hire, train, mentor, schedule, and evaluate event support staff.
- Lead event support team consisting of full-time and part-time student workers.
- Provide annual and ongoing training on event guidelines, ADA standards, and equipment operations.
- Provide audio-visual support and solutions for events.
- Conduct and maintain an accurate inventory of special events and scheduling audio-visual equipment and supplies.
- Supervise all event-related shuttle operations.
- Communicate and enforce University policies regarding event use and safety.
- Ensure compliance with ADA guidelines and fire code regulations during events.
- Collaborate with Sodexo/USI Dining Services staff to improve communication processes.
- Perform routine walk-throughs and address maintenance issues.
- Attend and participate in team meetings and professional development opportunities.
Requirements
- Bachelor’s degree in hospitality, event management, or related field.
- Three to five years of professional experience in event or conference management, two of which include supervision.
- Strong active listening and clear, specific oral communication skills.
- Exceptional service orientation and ability to work with diverse groups.
- Competency with Microsoft Office applications and ability to learn other applications as needed.
- Excellent organizational skills and problem-solving abilities.
- Valid Driver's License and acceptable driving record.
Preferred Skills
- Experience in hotel or restaurant event support.
Functional Requirements
- A consistently professional demeanor, especially in challenging situations.
- Ability to remain in a stationary position for extended periods and frequent physical movement during events.
- Physical manipulation of loads up to 35 pounds for extended periods.
- Computer proficiency and ability to use various software applications.
- Problem anticipation and resolution skills.
Regular Work Hours/Travel Requirements
Standard work hours are Monday through Friday, from 8:00 a.m. to 4:30 p.m. Occasional evenings and weekends may be required based on event schedules.
