Essential Job Duties
- Inspect, manage, and oversee all services and maintenance activities (HVAC, electrical, fire protection, grounds and building maintenance, security, systems engineering, and vehicles) to ensure efficient and effective operations across all facilities.
- Maintain daily, monthly, and quarterly preventive maintenance schedules for equipment and HVAC units, establishing clear priorities and timelines.
- Ensure maintenance and repair work is completed in a safe, timely, and cost-effective manner.
- Create, implement, and monitor safety plans, storage of equipment, and use of supplies.
- Comply with governmental regulations, building codes, zoning ordinances, utility companies, etc.
- Develop and implement facility policies and procedures and interpret policies for facility users.
Staff Leadership and Development
- Supervise the lead technician, housekeeping staff, and other operations department employees.
- Provide training and professional development opportunities for maintenance, grounds, housekeeping, and transportation staff.
- Facilitate quarterly facilities team meetings.
Financial and Vendor Management
- Develop and execute annual maintenance operating budget and five-year capital improvement plans for all Agency properties, including management of facilities reservation process.
- Establish and maintain relationships with vendors and contractors, ensuring a cost-effective bidding process and monitoring quality of work.
- Collaborate with the Director of Operations to coordinate outside professionals for repairs and service contracts.
Transportation Oversight
- Oversee the coordination of transportation services and maintenance of agency vehicles.
Additional Job Duties
- Act as handyperson for minor repairs as needed (e.g., plumbing, carpentry, masonry).
- Develop processes to evaluate customer satisfaction and implement improvement strategies.
- Cookordinate set-up and tear down for special events and relocations; respond to facility alarms, remaining on call as needed.
- Develop and monitor inventory systems for equipment, cleaning supplies, and furnishings, including purchasing oversight.
- Perform other related duties as assigned.
Qualifications
- Required: High School diploma or the equivalent plus ten (10) years of progressively responsible experience in facilities management and transportation, including supervisory responsibilities.
- Preferred: Associate degree in Facilities Management, Engineering, Business Administration, or a related field plus five (5) years of progressively responsible experience in facilities management and transportation, including supervisory responsibilities.
- A valid driver’s license with access to reliable transportation, and the ability to pass a driving background check.
Knowledge, Skill and Abilities
- Proven ability to function independently and professionally as a proactive leader with a strong commitment to workplace safety.
- Demonstrated skill in supervising, mentoring, and developing staff while fostering accountability, teamwork, and safe work practices.
- Strong project management abilities, including planning, scheduling, and overseeing construction, capital improvement, and maintenance projects with an emphasis on safety and compliance.
- Proficiency with building systems, facilities operations, preventive maintenance, and compliance with safety regulations, building codes, and fire/life safety standards.
- Demonstrated experience in managing multiple facilities, with thorough knowledge of federal, state, and local laws, codes, and regulations governing facilities operations and safety.
- Working knowledge of Microsoft Office (Word, Excel) and ability to learn facilities management software.
- Strong organizational skills with the ability to manage workflow, prioritize tasks, and coordinate departmental activities while ensuring safe and efficient operations.
- Effective communication skills, both oral and written, with the ability to analyze and interpret policies, procedural guidelines, technical documents, operating manuals and safety guidelines, and to present recommendations clearly.
- Ability to build and maintain positive relationships with staff, leadership, vendors, contractors, and the public, reinforcing professional interactions.
- Commitment to maintaining a safe environment and promoting a culture of safety accountability across all operations.
- Strong problem-solving and critical-thinking skills, with the ability to respond effectively and safely to emergencies or unexpected challenges.
- Flexibility to work evenings, weekends, or on call as required.
Physical Elements
- Must be able to physically perform bending, stooping, kneeling, walking, lifting, grasping, pulling, standing, talking, and hearing.
- Must be able to perform up to 100-pound assisted lifts and/or exert up to 50 pounds of force constantly to move objects.
Pay Range
$60,450 per year
