Position Summary

The position supports, guides, and administers clinic operations to ensure smooth functioning and good patient relations. It serves as a liaison between the clinic and other Apicha departments.

Duties and Responsibilities

  • Monitors front desk activities to ensure efficient patient flow and proper scheduling, including performing duties as needed.
  • Ensures adherence to established policies and procedures and work instructions.
  • Affirms efficient patient flow by assessing team member availability and notifying the Director of Clinic Operations as necessary.
  • Maintains compliance and confidentiality during front office staff-patient interactions.
  • Manages patient account inquiries, updates, and ensures accurate billing and collection.
  • Submits daily cash deposits according to established procedures.
  • Evaluates workflow and provides guidance to front desk staff weekly.
  • Coordinates departmental orientation and training for new and existing staff.
  • Maintains managed care reports and ensures appropriate provider enrollment status.
  • Handles requests for medical records, school forms, and other correspondence, ensuring compliance with regulations.
  • Maintains oversight of the referral process and monitors the scanning workflow.
  • Ensures timely and accurate completion of on-line patient recruitment activities.
  • Obtains prior authorization for services when necessary.
  • Keeps the Director of Clinic Operations informed of issues and takes prompt action or suggests improvements.
  • Completes and submits employee evaluations for front office staff.
  • Participates in quality improvement projects.
  • Treats patients, family members, and clients with concern, empathy, respect, and confidentiality.
  • Addresses and responds to inquiries and complaints from various sources.
  • Maintains a positive attitude and works collaboratively with colleagues.
  • Maintains a safe and clean work/patient care environment.
  • Manages office supplies and forms inventory.

Qualifications

  • Associate degree with 3 years related experience required.
  • Understanding of scheduling efficiency and patient flow in a medical practice.
  • Ability to manage staff questions, problems, and resolve conflicts.
  • Ability to prioritize and manage multiple tasks in a stressful environment.
  • Ability to interface with licensed providers.
  • Ability to work independently and in a team.
  • Fluency in Spanish or one of Asian languages preferred.
  • Professional attitude and demeanor required.
  • Working knowledge of Word, Excel, Outlook, Adobe, and PowerPoint.
  • Experience with EMR required, eClinicalWorks preferred.
  • Able to work flexible hours including evenings and weekends.
  • Able to travel using public transportation.
