Responsibilities
- Oversees all areas of patient's non-clinical experience including telephone communications, patient scheduling, patient reception, patient check-in and check-out, pre-certifications, referrals, and managing the EMR.
- Manages team members and educational activities for patients and families.
- Oversees schedule coordination for outpatient testing, procedures, scheduling and tracking follow up visits. Ensure patient consultations, follow-up documentation, and procedural reports are sent to referring physicians.
- Oversight of professional and hospital prior authorizations for outpatient procedures and any cardiac testing indicated.
- Monitors the process of scheduling outpatient and inpatient procedures and surgeries for completeness and accuracy.
- Leads huddles to ensure that registration, scheduling and clinical needs are met.
- Manages the offsite practice locations for the providers in Palisades MC, Northvale ambulatory site, JFK Hospital, and MCG.
- Manages the EP external billing for several hospitals, Englewood, Mountainside, Palisades, Pascack Valley, Holy Name, Good Samaritan, and Nyack.
- Manages professional billing for new Device Center including pacemakers, ICDs and loop recorders.
- Manages extensive manual billing process including complex procedural WorkQues for a large number of procedures and diagnostic testing.
- Identifies the needs of the patient population served and modifies, and delivers care specific to those needs (i.e.: age, culture, language, hearing and/or visually impaired, etc.).
- Maintains employee files and time and attendance records in Clairvia and People Soft.
- Approves employee requests for scheduled time off and maintains accurate time records.
- Responsible for staff scheduling to ensure adequate departmental coverage.
- Maintains proper working order of departmental equipment and notifies appropriate personnel for repairs and maintenance as required.
- Provides employee performance appraisals and counseling as required and maintains complete and accurate employee personnel records.
- Coordinates yearly in-services necessary for staff and assists with organization of schedules or special events.

- Participates in development and implementation of programs related to performance improvement activities.
- Monitors outpatient open encounters and in-patient notes on a weekly basis to ensure timely closing of encounters.
- Monitors Charge Review, Claim Edit, and Follow-up Workqueues to ensure timely submission of claims.
- Runs various wRVU, collections, cancellation of appointments, no-shows, and volume reports on a weekly basis and analyzes them for trends.
- Communicates with providers any revenue cycle or coding process and trends that need improvement.
- Reconciles monthly procedure schedules to ensure completeness and accuracy of billing.
Qualifications
- Bachelor’s Degree, or equivalent relevant experience.
- Minimum of 5 years of experience in practice coordination in the hospital setting, or a combination of practice coordination and related healthcare experience.
- Supervisory experience.
- Proficient in computer skills including Microsoft Office Applications.
