About the Role

The City of Aurora's Parks, Recreation and Open Space (PROS) Department encourages active lifestyles and creates healthy environments for people, nature, and community. This role performs a variety of administrative and financial duties with highly visible contact, requiring confidentiality, discretion, and independence of action.

Responsibilities

  • Schedules and coordinates meetings for Director, Executive Staff, and department staff members
  • Maintains/updates Director calendar of commitments and activities
  • Serves as a key staff liaison for Council policy committee(s) and other meetings, including preparing the agenda, approving and compiling the meeting packet, and taking/transcribing minutes
  • Receives and responds to requests for information, including Council and Management requests
  • Maintains, modifies, and updates database information for specialized departmental functions
  • Assists in preparations for department special events
  • Drafts, edits, proofreads, and prepares correspondence
  • Processes purchasing, accounting, and other financially related paperwork
  • Enters data, payments, and invoices into automated financial systems
  • Receives, responds to, and routes calls and visitors
  • Provides customer service and responds to inquiries in-person, over the phone, and electronically
  • Provides administrative support to department managers, supervisors, and staff
  • Compiles and generates reports
  • Produces and/or edits correspondence, financial reports, memos, meeting agendas, and other documents
  • Routes internal documents, maintains internal phone lists, and performs other general office tasks
  • Performs special projects and other complex administrative duties as assigned

Requirements

An equivalent combination of education, training, and experience that demonstrates required knowledge, skills, and abilities may be considered.

  • Education: High School Diploma or GED
  • Experience: At least two (2) years of financial and administrative support experience
  • Preferred Qualifications:
    • Associate's Degree in finance, business, office administration, or a directly related field
    • Experience preparing official documents and presentations
  • Knowledge:
    • Intermediate knowledge of Microsoft Office products including Word, Excel, and PowerPoint
    • Knowledge of standard office procedures, general business practices, report formatting, records maintenance, and office management principles
  • Skills:
    • Excellent customer service skills over the phone and in-person
    • Strong interpersonal skills
    • Skill in the use of Windows-based programs
    • Skilled in checking information for accuracy and completeness and correcting errors
    • Ability to work independently without extensive oversight
  • Abilities:
    • Establish and maintain effective working relationships with employees, all levels of management (including executive staff), citizens, and elected officials
    • Handle sensitive situations with tact and diplomacy
    • Communicate effectively both orally and in writing
    • Handle sensitive information to maintain confidentiality

The city of Aurora will implement furlough days (unpaid days off) for most employees in 2026. The scheduled furlough dates are January 16, April 10, July 2, and December 24.

Pay

The hiring rate for this role is $28.60 - $35.74 per hour.

Working Conditions

  • Essential Personnel: When a local announcement of emergency or disaster is declared by the City, all City of Aurora employees may be required to work as essential personnel.
  • Physical Demands: Sedentary physical work that involves moving no more than 10 pounds at a time; clear vision to read and interpret reports and other written documents; speech communication and hearing to maintain communication with employees and citizens; hand/eye coordination for operation of computer and phone.
  • Work Environment: Works primarily indoors.
  • Equipment Used: Standard office equipment including personal computer and common office software such as email, internet, Word, Excel, and menu-driven databases. This position may require the incumbent to occasionally use personal equipment (e.g., vehicle, cell phone, tools) in the course of their employment.
