Key Responsibilities
- Maintain and manage tracking systems for branch assignments, delegated actions, milestones, and deliverables.
- Develop status reports and provide updates to federal leadership.
- Cook up follow-up activities to ensure timely completion of tasks and action items.
- Assist leadership in assessing incoming assignments and preparing analytical summaries to support prioritization.
- Support operational planning and workload sequencing activities.
- Identify workflow bottlenecks and recommend process improvements.
- Afford assistance with risk assessments and contingency planning activities.
- Review and recommend improvements to standard operating procedures (SOPs).
- Support quality assurance and operational efficiency initiatives.
- Serve as a coordination liaison for internal and external stakeholders.
- Draft meeting summaries, action trackers, and executive communications.
- Support leadership engagement activities and branch communications.
- Coordinate meetings, workshops, and leadership engagements.
- Prepare agendas, logistics, attendee coordination, and follow-up documentation.
- Collect and analyze operational and performance data.
- Prepare dashboards, analytical reports, and executive summaries.
- Aid leadership with reporting metrics and operational visibility.
- Compile policy reference materials and supporting documentation.
- Support policy review and communication efforts.
- Aid with onboarding and training coordination.
- Maintain records, correspondence, document repositories, and version control.
- Support records management and administrative documentation activities.
- Aid with financial tracking summaries and budget support activities.
- Draft presentations, briefing materials, memoranda, and correspondence for federal leadership review.
- Cook up review and approval workflows for executive materials.
- Support short-term operational initiatives and special assignments as directed by branch leadership.
Required Skills
- Education: Bachelor’s degree in Business Administration, Public Administration, Management, Communications, or related field. High School Diploma plus three (3) years of specialized experience may substitute for a bachelor’s degree.
- Experience: Minimum three (3) years of related professional experience supporting federal operations, administrative management, project coordination, or executive support environments.
- Clearance / Requirements: Ability to obtain and maintain NIH badge/access credentials. Must be eligible to work in a federal contractor support environment.
- Skills: Strong analytical, organizational, and time management capabilities. Excellent written and verbal communication skills. Ability to manage multiple priorities and deadlines independently. Experience supporting executive-level stakeholders. Technical Skills: Proficiency with: Microsoft Office Suite Word Excel Outlook PowerPoint Teams SharePoint Tracking and reporting tools Data management systems.
Desired Skills
- General Description of Benefits: Prior NIH or HHS experience strongly preferred. Experience supporting federal leadership offices or administrative management functions. Familiarity with federal travel, records management, and operational reporting processes. Experience relative to a scientific or medical/healthcare background.
Salary Range
$75,000-85,500
