About the role

This position is directly responsible for the analysis, design, publishing, evaluation and control of forms and publications for the Arizona Department of Transportation (ADOT). The role works with multi-functional teams to deliver standardized products for customer use. Analysis of requirements, statutes, rules, policies, and processes is essential. May require driving a state vehicle. This position may offer the ability to work remotely within Arizona, based on department business needs and performance expectations.

Responsibilities

  • Oversee program form designs to function as fillable, calculating online forms, merging information from mainframe data files.
  • Collaborate in creating forms; create, revise, and test automated system templates and coordinate program development, design, and usage to ensure compliance with agency graphic standards and web style guidelines.
  • Administer and maintain software; handle server identification, printer setups, and maintain data files for on-demand print requests; ensure daily data files run as configured.
  • Research and coordinate purchases of specialized software and equipment; monitor and identify technologies for process improvement and cost reduction.
  • Analyze, design, publish, evaluate, and control forms/publications for content management of Motor Vehicle Division (MVD) websites.
  • Identify form/website requirements and specifications to provide a central, specialized operation ensuring cost-effective, professional, and standardized products that meet agency goals.
  • Research and analyze business area workflow, statutes, regulations, rules, policy, and historical information to determine impact on form/website requirements; negotiate resolution of conflicts and recommend workflow changes.
  • Act as a subject matter expert on form/website issues and provide documents for implementation meetings.
  • Write specifications and submit orders for printing; coordinate implementation issues; inspect and test documents for quality control.
  • Maintain revision history documentation and database/inventory system to track form design, construction, and ordering of pre-printed forms; develop and maintain standards for forms design and content.
  • Develop and deliver specialized training materials for form usage and navigating ADOTnet.
  • Organize, compile, analyze, and apply research along with design standards to create and revise forms/webpages using various computer software.
  • Coordinate foreign language translations of documents.
  • Prioritize and plan work activities; set goals and objectives; use time efficiently; communicate activities and results as appropriate.
  • Adapt to changing priorities, diverse needs, and scheduling changes to fulfill all form requests.

Requirements

  • Three years of experience in one or more functions related to the duties of this class.
  • A degree in business or public administration from an accredited college or university may substitute for one year of the required experience.
  • Possess and retain a current, valid, class-appropriate driver’s license if required to drive a state vehicle.
  • Complete all required driver training and pass necessary driver’s license record checks.
  • Maintain statutorily required liability insurance if operating a personally owned vehicle on state business.
  • Successfully complete the Electronic Employment Eligibility Verification Program (E-Verify).

Skills

  • Knowledge of organizational structure, workflow, and motor vehicle rules, regulations, statutes, and policy.
  • System analysis methods and processes related to forms design and implementation.
  • Basic grammar and document printing processes, specifications, and products, including managed print operations.
  • Web design practices and web content management.
  • Copyright laws and ADA compatibility functionality.
  • Graphic standard implementation and oversight, and establishment of workflow procedures.
  • Considerable skills in written and oral communication, text editing, and proofreading.
  • Desktop publishing, word processing, typography, graphics, and imaging (including Photoshop, Adobe Acrobat, Adobe InDesign, Adobe Illustrator, and Adobe PageMaker).
  • Web design, database development, and basic programming/scripting language; familiarity with JavaScript frameworks.
  • Problem-solving, analytical, and strong customer service and interpersonal skills.
  • Ability to work with multi-functional teams or independently.
  • Research, interpret, organize, and analyze information to determine form/website requirements.
  • Lead discussions and teams to effectively examine requirements.
  • Recognize relationships and similarities of various forms and processes to develop and maintain standards, avoid duplication, and consolidate similar documents.
  • Write and edit concisely and effectively; methodically audit a form's design and content to ensure consistency and conformance to requirements and standards.
  • Train users and employees; coordinate projects and prioritize workloads.
  • Adapt to diverse needs and scheduling changes; be available for disaster recovery/test prints after hours.
