Responsibilities
- CMMS Administration & Documentation
- Maintain asset records, work order documentation, equipment manuals and drawings, and equipment history within the CMMS.
- Support preventive maintenance scheduling, tracking, reporting, and documentation.
- Maintain maintenance-related files including equipment records and lockout/tagout (LOTO) documentation.
- Absorb light safety-related filing and paperwork as needed.
- Coordination & Communication
- Cookware vendors and contractors, schedule service visits, and follow up on open work orders and deliverables.
- Serve as an administrative point of contact for the maintenance team, managing scheduling, communications, and documentation workflows.
- Provide administrative support across multiple facilities.
- Purchasing & Reporting
- Create and track maintenance purchase orders and assist with maintenance cost reporting.
- Develop and distribute maintenance reports, dashboards, and KPI summaries.
- General Support
- Perform maintenance projects, asset management initiatives, and continuous improvement efforts.
- Associate degree or equivalent experience in business administration, operations support, or a related field.
- Prior experience in an administrative, coordination, or operations support role; maintenance or manufacturing environment preferred.
- Strong organizational, communication, and multitasking skills with the ability to work independently.
- Experience working with a CMMS or similar maintenance management platform.
- Proficient in Microsoft Excel, including XLOOKUP, INDEX/MATCH, PivotTables, and reporting functions.
- Proficient in Microsoft Word for creating and maintaining procedures, forms, and documentation.
- Comfortable with Microsoft Outlook for email management, calendar coordination, and professional communications.
- Able to manage assets, work orders, and PM tracking within a CMMS system.
- Experience supporting manufacturing, facilities, or industrial maintenance operations.
- Familiarity with maintenance purchasing processes, vendor coordination, and KPI reporting.
- Microsoft Office Specialist (MOS) Expert certification in Excel and/or Word highly preferred.
- Experience with Power BI or other business intelligence tools is a plus.
- Primarily office-based.
- Occasional access to manufacturing floor areas may be required, where exposure to noise, machinery, temperature variation, and other industrial conditions may occur.
- Ability to sit, stand, and walk for extended periods.
- Ability to communicate effectively.
- Ability to occasionally lift up to 30 pounds.
- Ability to access production areas when necessary.
