About the role

The Maintenance Manager oversees the maintenance operations of the property, including grounds and buildings, machinery and equipment, customer service, pest control, and special projects. They lead and supervise a team of maintenance employees and vendor personnel.

Responsibilities

  • Conduct all business in accordance with company standards and applicable local, state, and federal laws and regulations, including OSHA, ADA, Fair Housing, and other applicable requirements.
  • Coordinate weekly schedules for maintenance staff, including rotating on-call schedules.
  • Conduct weekly and monthly maintenance team meetings to discuss performance, maintenance issues, leasing-related concerns, company goals, training, and employee motivation.
  • Create maintenance checklists and communicate extraordinary or urgent items to management.
  • Ensure the proper maintenance and upkeep of all vehicles, golf carts, machinery, and equipment used at the property.
  • Assist with the introduction and training of employees on company policies and procedures.
  • Initiate, perform, and oversee maintenance projects and property improvements.
  • Develop scopes of work for property improvements and maintenance projects.
  • Ensure the property is maintained in a safe, clean, and properly functioning condition.
  • Identify maintenance needs, assign work, and direct the completion of maintenance service requests.
  • Maintain an updated vendor list for the property.
  • Manage and supervise maintenance staff in accordance with company policies and applicable laws.
  • Interview, hire, train, schedule, supervise, and evaluate maintenance employees.
  • Plan, assign, direct, and supervise work activities.
  • Provide performance feedback and take appropriate corrective or disciplinary action when necessary.
  • Address employee concerns and resolve workplace issues.
  • Provide ongoing feedback, coaching, and guidance to maintenance staff.
  • Solicit and analyze competitive bids for purchases, budgeted maintenance projects, and capital improvements when requested.
  • Perform the responsibilities of a Maintenance Supervisor when needed.
  • Assist Corporate with vendor management and the setup of new vendors.
  • Assist the Maintenance Coordinator in addressing resident and tenant concerns.
  • Provide support to the Regional Maintenance Manager as needed.

Leasing and Property Operations

  • Complete property incident reports accurately and promptly.
  • Provide management with regular inventories of rent-ready apartments.
  • Provide status updates to the management team regarding units that are offline or unavailable for occupancy.

Administrative Responsibilities

  • Maintain knowledge of and uphold all company policies, goals, values, and procedures.
  • Maintain accurate maintenance records, reports, checklists, and related documentation.
  • Represent the community in a professional manner at all times, both on and off the property.
  • Deliver required communications and documentation to residents.
  • Contribute to resident retention and customer service programs.
  • Respond to resident concerns professionally and help ensure timely resolution of maintenance-related issues.

Safety and Compliance

  • Monitor property grounds and facilities for safety hazards.
  • Ensure unsafe conditions are promptly identified, reported, and corrected.
  • Maintain current knowledge of and ensure compliance with company, local, state, and federal safety regulations.
  • Promote safe work practices among all maintenance staff.

Work Schedule and On-Call Requirements

A minimum of 40 hours per week; additional hours may be required based on business needs. Weekend work may be required based on operational needs. Participation in a rotating on-call schedule is required.

Education and Experience

  • High school diploma or GED required.
  • Bachelor's degree preferred.
  • Four years of experience in construction, apartment maintenance, property maintenance, or a related field may be considered in lieu of formal education, or an equivalent combination of education, training, and experience.
  • Prior administrative experience is preferred.
  • Experience in property management, apartment communities, or real estate management is highly desirable.
  • Previous supervisory or management experience is strongly preferred.

Technical Skills and Certifications

  • Proficiency with Microsoft Office Suite.
  • Experience with property management software such as Yardi, Grace Hill, or Silvertrac is a plus.
  • Fair Housing certification required or preferred, as applicable.
  • Certified Apartment Maintenance Technician (CAMT) certification is helpful.
  • Valid California driver's license and automobile insurance required.
  • CPR certification preferred.
  • HVAC/CFC certification preferred.
  • Valid Pool Certification preferred.

Physical Demands

Lifting and Carrying Requirements

  • Over 150 lbs.: Rarely required (less than 1% of the time)
  • 75-150 lbs.: Occasionally required (1%-33% of the time)
  • 25-75 lbs.: Frequently required (33%-66% of the time)
  • 1-25 lbs.: Constantly required (66%-100% of the time)

Communication and Teamwork

  • Communicate professionally, both verbally and in writing, with prospective and current residents, employees, management, coworkers, vendors, and other external parties.
  • Work effectively as part of a team.
  • Follow instructions and respond appropriately to management direction.
  • Accept constructive feedback and use it as an opportunity for professional development.
  • Maintain professional and respectful communication at all times.

Supervisory Responsibilities

  • Directly supervises five or more employees within the service and maintenance department, which may include Maintenance Porters, Maintenance Technicians I and II, Lead Technicians, Maintenance Coordinators, Assistant Service Managers, and Service Managers.

Attendance and Punctuality

  • Maintain reliable and consistent attendance.
  • Arrive at work on time and be prepared to perform assigned responsibilities.
  • Weekend work and on-call responsibilities may be required.

Travel

Travel may be required within the Southern California region.
