About the Role
The Maintenance Director plans, organizes, develops, and directs the overall operation of the Maintenance Department to ensure the facility is maintained in a safe and comfortable manner, in accordance with current federal, state, and local standards. This role reports to the Administrator and holds administrative authority, responsibility, and accountability for assigned duties.
Responsibilities
- Plan, develop, organize, implement, evaluate, and direct the Maintenance Department, its programs, and activities.
- Develop and maintain written maintenance policies and procedures.
- Assist maintenance staff in developing and using departmental policies, procedures, equipment, and supplies.
- Review and revise department policies, procedure manuals, and job descriptions annually, providing recommendations to the Administrator.
- Interpret department policies and procedures to employees, residents, visitors, and government agencies.
- Coordinate maintenance services with other departments (e.g., Dietary, Nursing).
- Submit written and oral reports to the Administrator regarding department operations.
- Establish and oversee a preventive maintenance program.
- Submit accident/incident reports to the Business Office within 24 hours of occurrence.
- Assist the Infection Control Coordinator in identifying and classifying maintenance tasks involving potential exposure to blood/body fluids.
- Inspect storage rooms, work rooms, and utility/janitorial closets for upkeep and supply control.
- Participate in facility surveys and develop plans of correction for maintenance deficiencies.
- Monitor economic conditions and recommend adjustments to maintenance services as needed.
- Complete administrative duties, including forms, reports, evaluations, and studies to control equipment and supplies.
- Ensure proper completion and supervision of outside services per contracts/work orders.
- Delegate responsibilities to staff in your absence.
- Serve on facility committees (e.g., Infection Control, Safety, QA) and provide reports as required.
- Evaluate and implement committee recommendations.
- Conduct regular meetings with maintenance personnel and inter-department supervisors to address issues and improve services.
- Attend department head meetings and schedule departmental meetings.
- Recommend staffing levels and assist in recruitment, interviewing, and selection of maintenance personnel.
- Assign and schedule maintenance personnel for each shift, including vacations and holidays.
- Delegate authority to other maintenance personnel as needed.
- Standardize maintenance task methods and review staff competence.
- Administer disciplinary action fairly and terminate employment when necessary, coordinating with the Personnel Director and Administrator.
- Review and address complaints and grievances from personnel, residents, or visitors.
- Conduct performance evaluations in accordance with facility policies.
- Coordinate maintenance services to ensure uninterrupted operations.
- Make daily rounds to ensure maintenance duties are performed and procedures are followed.
- Foster a positive and calm environment throughout the facility.
- Develop and participate in in-service training, on-the-job training, and orientation programs for maintenance personnel.
- Maintain professional competence through continuing education (e.g., seminars, training programs).
- Ensure all maintenance personnel attend annual OSHA and CDC training for hazard communication, TB management, and bloodborne pathogens.
- Supervise safety and fire protection programs, inspecting work areas and equipment weekly.
- Enforce safety regulations and ensure proper use of safety equipment.
- Maintain a safe and comfortable environment, reporting equipment or facility damage promptly.
- Obtain and maintain Material Safety Data Sheets (MSDSs) for hazardous chemicals and ensure proper labeling and storage.
- Train staff to recognize hazards and follow protective measures using labels and MSDSs.
- Develop and implement infection control and universal precautions policies.
- Ensure staff follow handwashing procedures and policies for personal protective equipment and infectious waste disposal.
- Report occupational exposures to blood, body fluids, infectious materials, or hazardous chemicals per facility policies.
- Recommend equipment and supply needs to the Administrator.
- Monitor equipment and supplies, ensuring availability and proper use to avoid waste.
- Maintain inventory and records, placing orders as necessary.
- Ensure proper labeling of contaminated equipment before repair or decontamination.
- Adjust department operations to conform to the approved budget and analyze monthly operating statements.
- Maintain records of department expenditures and submit financial reports to the Administrator as requested.
- Maintain confidentiality of resident information and respect resident rights.
- Ensure maintenance personnel knock before entering resident rooms and respect personal and property rights.
- Inform residents when moving personal possessions for maintenance tasks.
- Review and address maintenance-related complaints or grievances from residents, family, or visitors.
- Ensure adherence to departmental policies and procedures.
- Conduct weekly inspections to maintain quality control.
- Handle emergencies, such as rescheduling maintenance tasks.
- Ensure proper disposal of medical waste according to facility procedures.
Working Conditions
- Works in office areas and throughout the facility (e.g., power rooms, resident rooms, therapy rooms, Dietary).
- Moves intermittently during working hours and is subject to frequent interruptions.
- Interacts with residents, personnel, visitors, and government agencies under various conditions.
- May be exposed to hostile or emotionally upset residents, personnel, or visitors.
- Tasks may involve exposure to blood, body fluids, or tissues (Category I), requiring the use of personal protective equipment.
