About the role

The Maintenance Cost Analyst provides leadership and support for the administration, governance, analysis, and continuous improvement of maintenance financial processes and reporting. This position focuses on ensuring maintenance costs are accurately captured, coded, analyzed, and communicated to support effective budget management, financial decision-making, and continuous improvement initiatives for the maintenance department. The role serves as the primary liaison between Maintenance, Finance, Purchasing, and contractors to maintain financial integrity while providing maintenance leadership with meaningful cost analysis and recommendations that support sound financial decision-making and cost optimization.

Responsibilities

  • Administer and maintain the integrity of maintenance financial transactions by reviewing invoices, work orders, contractor billing, rental equipment charges, and other maintenance-related expenditures to ensure costs are accurately coded, properly documented, and charged to the appropriate accounts.
  • Monitor and analyze maintenance spending to identify spending trends, abnormal costs, budget variances, and opportunities for improved financial performance.
  • Serve as the Maintenance Time & Material Job (TMJ) System Administrator by managing TMJ workflows, contractor rate tables, and invoice approval routing while providing system support and training to contractors and personnel.
  • Review contractor timesheets, proformas, and supporting documentation to ensure accurate accounting, compliance with contractual requirements, and resolution of billing discrepancies.
  • Review and negotiate contractor labor rates and material markups by evaluating contractor pricing requests, benchmarking proposed rates against existing agreements and market conditions, and maintaining approved rate schedules to ensure competitive pricing and compliance with company standards.
  • Develop, maintain, and continuously improve automated maintenance cost reporting and financial dashboards, ensuring reports are accurate, timely, and provide maintenance leadership with meaningful information to effectively monitor and manage departmental spending.
  • Support the development, monitoring, and forecasting of maintenance budgets by working with Maintenance leadership and Finance to analyze historical spending, evaluate budget performance, and identify emerging financial risks or opportunities throughout the fiscal year.
  • Identify, quantify, and validate cost savings opportunities through analysis of maintenance financial data while collaborating with Lead Engineers and department leadership to evaluate potential savings and measure realized financial benefits.
  • Maintain financial governance of maintenance support processes by administering rental equipment tracking, vending and service invoice allocation, and other maintenance-related financial processes to ensure accurate reporting and audit readiness.
  • Collaborate with Maintenance, Finance, Procurement, and Operations to resolve financial discrepancies, improve transaction accuracy, support capital and outage accounting activities, and ensure maintenance financial processes align with organizational objectives and accounting standards.
  • Monitor and audit maintenance financial data quality by identifying transaction errors, coding inconsistencies, duplicate charges, and other financial discrepancies while developing recommendations to improve data accuracy and strengthen financial controls.
  • Support continuous improvement of maintenance financial processes by evaluating existing workflows, identifying opportunities to simplify administrative activities through automation or standardization, and improving the efficiency and effectiveness of maintenance financial management.
  • Stay informed of best practices in maintenance financial management, cost analysis, reporting tools, and business analytics by engaging with Finance, Information Systems, software vendors, and industry resources to identify opportunities that improve maintenance financial performance and decision support.
  • Other duties as assigned, including participation in relevant continuous improvement programs.

Requirements

  • Associate or Bachelor's degree in Accounting, Finance, Business, Engineering, or a related field OR equivalent combination of education and relevant experience.
  • Strong analytical, problem-solving, and organizational skills with the ability to interpret financial and operational data.
  • Proficient computer skills, including Microsoft Excel and the ability to learn enterprise financial, reporting, and maintenance management systems.
  • Strong written and verbal communication skills with the ability to collaborate effectively across multiple departments.

Physical Abilities

  • Mobility in plant.
  • Regularly required to sit, stand, walk, and use hands for technical tasks.
  • Occasionally lift and/or move up to 50 pounds.
  • Visual ability with or without correction.
  • Strong communication abilities.

Health and Safety

  • Work in compliance with the Occupational Health and Safety Act and Regulations.
  • Comply with company safety rules, policies, procedures, as well as job-specific work instructions and JSAs.
  • Report the absence of or defect in any personal protective equipment or clothing to the Supervisor or Manager immediately.
  • Use and wear the required personal protective equipment, including:
    • Metatarsal boots
    • Safety glasses
    • Hearing protection
    • Hard Hat
  • Some areas may require additional personal protective equipment such as:
    • Respirators (requires being clean-shaven to comply with company policies and OSHA Regulations)
    • Fire Retardant clothing
    • Acid PPE
  • Report any contravention of the Occupational Health and Safety Act and Regulations or Company policies or procedures to the Safety Coordinator, Group Lead, or Supervisor.
  • Follow all Lockout Tag out (LOTO) guidelines for designated equipment and machinery.
  • Follow all Environmental Policies and Regulations.
  • Maintain a clean and safe work area.

Work Environment

  • Work in compliance with the Occupational Health and Safety Act and Regulations.
  • Clean, well-ventilated, and safe work areas.
