Promotions and Duties

  • Promotes and fosters a safe and secure operating environment.
  • Prepares letters, memos, reports, and other similar documents.
  • Confidentially maintains technical correspondence, employee records, and other departmental files and data.
  • Coincides personnel-related work, training, and staff travel schedules and arrangements.
  • Provides telephone and general administrative reception services support.
  • Maintains payroll information from Kronos sheets, reviews and approves timesheets, and inputs sick, vacation, funeral, and PTO time based on submitted absence requests.
  • Processes day trades, updates schedules in UKG, and researches and resolves payroll discrepancy forms.
  • Creates the annual Master Bid Schedule (MBS) for the upcoming year and maintains Standing Preference Bid Forms.
  • Maintains reliability sheets for attendance occurrences and communicates occurrences to management when needed.
  • Distributes seniority lists, mechanic and stores vacation/sick spreadsheets, and other employee information.
  • Orders and cancels uniforms, orders jackets for new employees, and coordinates hangar supply requests.
  • Collaborates with Recruiting Specialist to assist with organizing and interviewing candidates.
  • Collaborates with Compliance to assist with drug and alcohol testing.

Required Competencies

  • High level of judgment to ensure compliance with appropriate regulations, policies, and procedures.
  • Judgment and initiative are necessary in setting priorities in providing administrative support for the department.
  • Must determine if unusual problems with routine procedures require involvement of others.
  • Able to handle confidential information.
  • Able to communicate fluently in English.

Education & Experience

  • Required: Associate degree in a business or office technology discipline, or equivalent practical career experience.
  • One to two years office administration or secretarial experience.
  • Strong attention to detail and ability to maintain accurate payroll, scheduling, and employee records.
  • Able to handle confidential employee information with discretion and professionalism.
  • Strong organizational skills with the ability to manage recurring deadlines and multiple administrative priorities.
  • Proficiency in Microsoft Office products.

  • Proficiency with timekeeping, scheduling, expense, and document management systems such as Kronos, and UKG.
