About The Opportunity

We are seeking a highly organized and detail-oriented Project Coordinator – Associate to support facility maintenance operations, inventory procurement, equipment management, and capital projects within a fast-paced manufacturing environment. This role is responsible for coordinating project activities, tracking budgets and expenditures, supporting operational teams, and ensuring seamless communication between stakeholders. The ideal candidate will have strong administrative and project coordination experience, exceptional organizational skills, and the ability to manage multiple priorities while supporting operational excellence, safety initiatives, and cross-functional project execution.

Responsibilities

  • Review and verify supporting documentation for Invoice Receipt (IR) and Goods Receipt (GR) payment processes.
  • Collaborate with buyers and vendors to resolve purchase order and inventory discrepancies.
  • Create and process high-volume manual invoices in ERP systems across multiple sites.
  • Maintain organized records and archives of purchasing and payment documentation.
  • Ensure timely and accurate processing of financial transactions and supporting documentation.
  • Coordinate maintenance activities for department-owned Powered Material Handling Equipment (PMHE), including forklifts, trucks, and electric pallet jacks.
  • Track preventive maintenance schedules and ensure maintenance requirements are completed on time.
  • Manage vendor relationships for equipment service and repair activities.
  • Coordinate forklift fire extinguisher inspections and propane inventory management.
  • Monitor and process repair requests submitted through Confluence or similar tracking systems.
  • Assist with planning, scheduling, and coordinating departmental projects.
  • Track project budgets, expenditures, and resource utilization.
  • Help ensure projects remain on schedule and within budget constraints.
  • Prepare project status reports, presentations, proposals, and supporting documentation.
  • Coordinate communication between project stakeholders and operational teams.
  • Manage department-issued mobile devices, scanners, tablets, and two-way radios.
  • Support operational applications including Mobile NERP, RMTS, Package Tracker, and other business systems.
  • Coordinate device deployment, inventory tracking, troubleshooting, and replacement activities.
  • Support indirect contractors, warehouse personnel, and team members with operational technology needs.
  • Manage office and operational supply purchasing activities.
  • Track inventory levels and coordinate replenishment of required materials.
  • Support procurement efforts related to equipment repairs, facility operations, and safety initiatives.
  • Assist with purchasing materials required for Fab walk repairs and site improvement projects.
  • Coordinate and maintain project documentation, records, and reports.
  • Support departmental operational goals and continuous improvement initiatives.
  • Assist with scheduling, meeting coordination, and stakeholder communications.
  • Perform additional duties and special projects as assigned.

Minimum Qualifications

  • Associate Degree or College Degree required.
  • Minimum of 2 years of administrative, project coordination, or operational support experience.
  • Military service and technical education in a related field may be considered in lieu of degree requirements.
  • Intermediate proficiency with Microsoft Office Suite, including: Excel, Word, and PowerPoint.
  • Strong organizational and time management skills.
  • Excellent written and verbal communication abilities.
  • Ability to manage competing priorities in a fast-paced environment.
  • Demonstrated problem-solving skills and proactive mindset.
  • Familiarity with OSHA-10 or higher safety standards.

Preferred Qualifications

  • Experience using ERP systems such as SAP or similar platforms.
  • Experience with Confluence or related project collaboration tools.
  • Knowledge of purchasing, invoicing, inventory tracking, or procurement processes.
  • Basic mechanical knowledge of Powered Material Handling Equipment (PMHE), including forklifts, pallet jacks, and material handling vehicles.
  • Experience supporting facilities, manufacturing, warehouse, logistics, or industrial operations.
