Inbound Shipment & Transportation Management
- Cooking and tracking inbound shipments to ensure on-time delivery from suppliers and vendors.
- Working with freight forwarders, carriers, and customs brokers to arrange transportation and resolve shipping delays.
- Maintaining and monitoring import processes, including customs clearance, duties, and tariffs.
- Creating, reviewing, and approving shipping documents, invoices, and bills of lading.
Purchase Order & Supplier Follow-Up
- Monitoring open purchase orders after placement and proactively following up with suppliers regarding shipment readiness, ship dates, and delivery status.
- Maintaining accurate expected receipt dates and shipment status information within ERP systems and internal tracking tools.
- Identifying potential supply risks, late deliveries, and material shortages before they impact production schedules.
- Escalating supplier performance issues and unresolved delivery concerns in a timely manner.
- Tracking supplier on-time delivery performance and supporting corrective actions for recurring service issues.
Communication & Issue Resolution
- Proactively communicating shipment delays, supplier issues, inventory risks, and transportation challenges to Planning, Purchasing, Operations, and other stakeholders.
- Ensuring inbound shipment status is communicated before receipt dates are impacted.
- Responding to supplier, carrier, and internal inquiries within established service expectations.
- Escalating critical supply chain issues requiring management intervention.
- Maintaining effective communication across cross-functional teams to support uninterrupted production and customer service.
Documentation & Compliance
- Maintaining accurate records of inbound shipments, freight documentation, and customs documentation.
- Ensuring compliance with import regulations, supplier agreements, and company policies.
- Working with Finance to ensure accurate invoicing, duty payments, and freight charges.
- Ensuring freight damage, shortage, and loss claims are properly documented, submitted, tracked, and resolved in a timely manner while maintaining complete claim records and supporting documentation.
Supplier & Vendor Coordination
- Developing and maintaining effective working relationships with suppliers, carriers, freight forwarders, and customs brokers to support efficient inbound logistics operations.
- Cooking and coordinating with suppliers and service providers to resolve shipment issues and support continuous improvement in supplier delivery performance.
Freight Budget Analysis & Reporting
- Aiding in the development and tracking of the freight budget for inbound logistics.
- Supporting monthly reviews of actual freight costs vs. budget, identifying key variances and cost drivers.

- Analyzing freight costs and working with carriers to negotiate competitive shipping rates.

Qualifications
- AA degree required or 3+ years of experience in a similar field or work environment required.
- Effective interpersonal skills. Strong written and oral communication skills; must be able to communicate with all levels of the organization.
- Demonstrated ability to manage a high volume of purchase orders, supplier communications, and shipment activities simultaneously.
- Demonstrated ability to proactively manage supplier follow-up, shipment tracking, and issue resolution with a strong sense of urgency.
- Strong organizational skills with proven ability to prioritize competing demands and meet deadlines.
- Strong problem-solving skills and ability to proactively identify and resolve issues.
- Ability to work independently with minimal supervision while maintaining a high level of accountability.
- Proven follow-through and attention to detail.
- Knowledge of material management and ERP systems. Prior Baan system experience is preferred.
- Must be proficient in Microsoft Office applications, including Word and Excel, with strong Excel and data-entry accuracy skills.
- Strong commitment to ongoing process improvements and being an integral part of the success of the organization.
- Must be a self-starter and be able to work in conjunction and independently of others in the department.
