About the role

The Logistics Coordinator II is responsible for coordinating, programming (if applicable), shipping and receiving of medical devices, imaging phantoms, site documentation, and all supplies/resupplies to support a global customer base within the clinical research industry. This role manages supply chain responsibilities to maintain sufficient levels of supplies and equipment to fulfill requests, using the inventory system to enter orders and report monthly metrics to management.

This position requires global logistics knowledge, development of importation documentation to ensure seamless international distribution, and coordination of shipments through alternative courier providers when international countries do not accept the preferred vendor. The role also involves processing receipts of devices from vendors and sites, configuring devices per site specifications, troubleshooting/repairing devices, managing the RMA program, and coordinating with equipment manufacturers for repairs beyond internal capabilities.

Responsibilities

  • Creation, assembly, and/or distribution of all supporting documentation for shipments of medical devices, supplies, imaging phantoms, or site documentation to a global customer base to support clinical research.
  • Develop all international documentation to meet the specific requirements of each country, clinical research organization, sponsor, and site.
  • Manage all communications and activities with external logistical courier services related to required documentation, timelines for delivery and pickup, and ensure receipt by depots and/or sites. Act as the main point of contact for any shipment issues, providing support to couriers, depots, or sites.
  • Utilize technical knowledge of cardiac equipment (e.g., ECG, Holter, ABPM, and TTM devices) to support configuration, troubleshooting, and minor repairs.
  • Manage the evaluation of all returned equipment, repairs, and communication with Project Management regarding the status of returned equipment via the RMA program.
  • Monitor and address shipment alerts or exceptions while in transit, facilitating resolution by liaising with appropriate internal and/or external stakeholders.
  • Assist and regularly communicate with management to monitor and maintain supply chain flows, ensuring sufficient levels of supplies and equipment to satisfy business needs.
  • Liaise with Operations and/or the distribution center to ensure timely and quality shipments, proactively identifying and mitigating risks. Provide feedback to the distribution team on shipping errors, analyze root causes, and drive solutions to prevent future issues.
  • Responsible for department training for Logistics Coordinators, ensuring understanding of job tasks and responsibilities, and act as the subject matter expert for the department and other departments requiring education or information.
  • Assist with Customer Support tasks as needed.
  • Ad hoc projects as assigned by management.

Requirements

  • Medical Device experience is a plus.
  • Experience working in the shipping industry preferred.
  • Vendor management experience is preferred.
  • High School Diploma or BS Degree is a plus.
  • MS Office experience: Excel and PowerPoint.

Pay

Salary range: $51,552.00 - $64,440.00. Actual compensation will be determined based on factors such as geographic location, work experience, education/training, and skill level. Eligibility for bonus, stock compensation, and commissions may apply depending on role and performance.
