Commercial Operations Coordinator Location: Menomonee Falls, WI or Tulsa, OK Work Schedule: Hybrid, 3 days onsite and 2 days remote Hours: Monday through Friday, 8:15 AM to 5:00 PM Employment Type: Contract with potential for extension and full time conversion Job Overview We are seeking a detail oriented Commercial Operations Coordinator to support customer programs and day to day commercial operations. This position will focus heavily on chargebacks and deductions, rebate processing, data analysis, customer compliance, and ERP administration . The ideal candidate is analytical, organized, and comfortable investigating discrepancies, working with data, and collaborating across multiple departments to resolve customer and operational issues. Key Responsibilities Chargebacks, Deductions and Customer Compliance Investigate customer chargebacks, deductions, and compliance issues to determine accuracy and validityMonitor customer compliance submissions and reported issuesMaintain chargeback tracking and supporting documentationPartner with internal departments to research and resolve discrepanciesProcess approved chargeback, freight, and miscellaneous credits Rebates and Incentive Programs Review and process rebate and incentive claimsValidate claims for accuracy and program complianceCoordinate approvals and process approved creditsPrepare and submit weekly payment information to Finance Customer Agreements Process approved customer applications and commercial agreementsMaintain customer contract details and effective dates within the ERP systemEnsure completed agreements and documentation are accurately maintainedSupport customer onboarding communications ERP and Data Management Create, update, and maintain items within the ERP systemProcess item changes and obsolescenceSet up and maintain customer discountsReview commercial data for completeness and accuracyMaintain accurate customer and program records Commercial Operations Support Support program change requests and discount code maintenanceProvide backup support for other Commercial Operations team membersCollaborate with cross functional teams including Finance, Sales, Customer Service, and OperationsSupport additional commercial operations activities as needed Required Qualifications Associate degree or 3 years of related professional experience and/or trainingExperience with chargebacks, deductions, claims, rebates, or customer complianceStrong analytical and problem solving skillsStrong attention to detail and accuracyExperience working with ERP systemsProficiency with Microsoft Office, particularly Excel and WordAbility to manage multiple priorities and deadlinesStrong written and verbal communication skills Preferred Qualifications Experience managing retailer or customer portalsExperience processing rebate or incentive claimsExperience investigating customer deductions and chargebacksExperience working in a cross functional business environmentAbility to communicate professionally with both internal and external customers Top Skills for Success Chargeback and Deduction Investigation Ability to research discrepancies, validate claims, and identify appropriate resolutions. Data Analysis and System Management Strong ability to work with data, ERP systems, customer information, and retailer portals. Rebate and Claims Processing Experience reviewing and processing rebates, incentives, credits, or similar commercial programs. Work Environment This is a hybrid position requiring three days per week onsite and two days remote . Candidates may be based in Menomonee Falls, Wisconsin or Tulsa, Oklahoma . Normal working hours are 8:15 AM to 5:00 PM , including a 45 minute lunch and morning and afternoon breaks. No travel is required. Job Type & Location This is a Contract to Hire position based out of Tulsa, OK. Pay And Benefits The pay range for this position is $22.00 - $25.00/hr. Individual compensation offered for this position within this range will depend on many factors, including qualifications, skills, relevant experience, job knowledge, geographic location, internal equity, and other pertinent job-related factors.
