Logistics Coordinator

Guidant is an experienced energy measurement solutions business serving emerging and established energy markets across the globe. Our solutions optimize the processing, transportation, distribution, and storage of conventional and alternative energy sources, making them safer, more efficient, and more productive. As a Logistics Specialist, you will handle the clerical duties of shipping and receiving, including processing orders, tracking shipments, and preparing shipping documents to ensure the accurate and efficient movement of goods.
Responsibilities
- Prepare international and domestic documentation such as packing lists, shipping and marks labels, invoices, letters of credit, and foreign government requirements.
- Understand and adhere to Export Compliance requirements.
- Track, update, and monitor materials packed and awaiting shipment.
- Maintain accurate records by scanning export documentation and attaching it to the appropriate order or folder.
- Maintain original paper files as determined by compliance standards.
- Monitor and track large shipments sent via freight forwarder and follow up to request necessary customs documentation.
- Review billing documentation to ensure correct bill-to/ship-to information and amend documentation to avoid customs delays or penalties.
- Create courier (UPS, DHL, FedEx) shipment labels with correct address and billing account information.
- Process large, weekly consolidation shipments.
- Establish contact with customers and freight forwarders to determine transport mode, documentation requirements, and order status communication.
- File appropriate documentation with US Customs using the ACE portal.
- Provide accurate information to freight forwarders for customs documentation and review export documentation for necessary changes.
- Create certificates requested by customers during the order entry process.
- Obtain notary stamping and local Chamber of Commerce stamping when necessary.
- Respond to a high volume of emails and requests in a timely and efficient manner.
Requirements
- High School Diploma or GED required.
- Minimum 2 or more years’ experience in billing, accounts receivable, export documentation, and/or logistics.
- Proficiency in Microsoft Office; SAP is a plus.
- Strong verbal, written communication, and interpersonal skills.
- Exceptional organizational skills and attention to detail.
- Knowledge of fundamental accounting concepts and office practices.
- Ability to handle multiple tasks with interruptions and adapt to changing deadlines or non-standard hours.
- Good phone presence and ability to contribute to problem resolution.
Work Environment
Time spent in an office environment as well as on the shop floor. Frequent sitting with operation of phone and computer.
