Logistics Coordinator
About the role
The Senior Logistics Coordinator oversees day-to-day dispatch operations for a private fleet, ensuring that all transportation activities are executed safely, compliantly, and cost-effectively. This role leads and supports drivers while balancing service performance, route optimization, and continuous improvement initiatives. The Senior Logistics Coordinator also serves as the primary contact for third-party logistics carriers and external warehouses, providing detailed capacity plans and coordinating closely with local sites, customers, and raw material vendors.
Responsibilities
- Cook up daily routing and dispatch for local and regional drivers to ensure efficient coverage of all scheduled loads.
- Monitor load execution to ensure on-time pickup and delivery performance, taking corrective action as needed.
- Proactively resolve service disruptions such as delays, breakdowns, and staffing gaps by making real-time operational decisions.
- Build and execute daily load plans across internal fleet capacity and external carrier capacity.
- Optimize routing to minimize empty miles and maximize asset utilization across the private fleet.
- Ensure efficient driver utilization and adherence to schedules, balancing workload across all drivers.
- Maintain Hours of Service (HOS) and route compliance and take ownership of maintaining accurate and compliant records.
- Cook up capacity plans and coordinate closely with brokers, warehouses, and third-party logistics providers to secure capacity and maintain service levels.
- Complete onboarding and training for new drivers and dispatch staff, ensuring they understand company, ELD, and compliance requirements.
- Manage tendering of loads, rate uploads, and load tracking activities to maintain accurate and timely information.
- Monitor carrier performance, including on-time percentages, communication quality, and overall service reliability.
- Resolve service failures, accessorial charge disputes, and claims in a timely and professional manner.
- Own the dispatch process for all company drivers and manage load tendering to external carriers.
- Provide clear direction on load prioritization, problem-solving approaches, and escalation handling to the dispatch team.
- Ensure private fleet compliance with Federal Motor Carrier Safety Administration (FMCSA) regulations and internal policies.
- Maintain strong ownership of ELD data, HOS adherence, and safety performance metrics.
- Support incident investigations and the development and implementation of corrective actions.
- Analyze route efficiency, empty miles, and cost-per-mile standards to identify opportunities for improvement.
- Identify opportunities to reduce deadhead, detention, and overtime through better planning and execution.
- Partner with external vendors to ensure maintenance, equipment availability, and optimal utilization of assets.
- Communicate capacity constraints and potential service risks proactively to stakeholders.
- Support and drive continuous improvement initiatives across transportation operations using data and operational insights.
- Lead and ensure successful execution of end-of-month activities related to transportation and fleet operations.
- Develop and maintain dashboards that provide leadership with clear visibility into transportation performance and KPIs.
- Use data analysis to drive continuous improvement initiatives and inform operational decisions.
- Maintain accurate, audit-ready transportation records and documentation.
- Align transportation execution with customer requirements and broader business priorities.
Qualifications
- At least 3–5 years of experience in transportation and logistics with direct fleet dispatch responsibilities.
- Experience in managing or supporting a private fleet operation.
- Proficiency in transportation management systems (TMS), electronic logging device (ELD) systems, and Excel-based data analysis.
- A strong understanding of routing principles, Hours of Service (HOS) regulations, and transportation compliance requirements.
- Demonstrated ability to make real-time operational decisions under pressure in a fast-paced environment.
- Experience working with both local and regional transportation operations.
- Familiarity with cost modeling and KPI dashboards to monitor and improve performance.
- Strong organizational, project management, and delegation skills.
- Excellent implementation and execution skills with a focus on delivering results.
- Demonstrated problem-solving skills with the ability to address complex operational issues.
- Excellent oral and written communication skills for interacting with drivers, carriers, and internal stakeholders.

Skills
- Experience with SAP ERP is preferred and supports integration with broader supply chain processes.
- Proficiency with Microsoft Office applications, including Excel (such as pivot tables), for reporting and analysis.
- Background in logistics, customer service, data entry, transportation, dispatch, and third-party logistics coordination.
- Familiarity with cost modeling and the development or maintenance of KPI dashboards.
- Creative thinking with an emphasis on developing innovative solutions to transportation and operational challenges.

Pay and Benefits
The pay range for this position is $25.00 - $30.00/hr.
