The Food & Beverage Administrative Assistant provides administrative support to all resort Food & Beverage outlets and acts as a liaison between Human Resources and F&B team members. Responsibilities

  • Provides general administrative support to Food & Beverage and Culinary Management
  • Answers phone calls for the Lodge outlets when host/MOD is not available
  • Books and contracts bands and musicians for performances throughout the Lodge Outlets, including The Backyard and the Owl’s Nest
  • Works with group contacts and clients to book and contract special events, including Private Room Dining
  • Communicates with Sales and Conventions teams to ensure successful execution of group events in Lodge Food & Beverage spaces
  • Attends weekly resume (groups in house) meeting in person or via Teams
  • Ensures group bookings are updated in Delphi, 7Shifts, RESY, and F&B Calendar
  • Organizes and updates group event menus
  • Reviews final billing for group events and edits if necessary
  • Creates Purchase Orders and Check Requests through Birchstreet, including Expense Reports
  • Processes payroll and monitors time corrections for all Lodge Food & Beverage Outlets in UKG
  • Ensures departmental compliance with Predictive Schedule
  • Monitors and ensures proper compliance with tip claiming sheets and minor break logs
  • Keeps current and accurate associate manual time sheets for all associates
  • Picks up paychecks, manages distribution, and returns signed documents to payroll
  • Ensures accurate statuses and updates forms for associates with multiple job codes
  • Attends bi-monthly team meetings
  • Maintains OLCC and Food Handlers compliance for F&B associates
  • Orders office supplies
  • Assists manager with associate onboarding/departure paperwork
  • Reports any needed repairs via SMS work order
  • Organizes the Meadow’s folder on the “V” drive
  • Communicates all pertinent information to the outlet teams
  • Maintains a professional demeanor and appearance, adhering to Sunriver Resort dress code standards
  • Remains alert, courteous, and helpful to guests and colleagues at all times
  • Performs other related duties as assigned

Requirements

  • High school diploma or equivalent required
  • At least one year of Food & Beverage experience required
  • At least one year of customer service experience required
  • At least one year of supervisory experience preferred
  • Prior hospitality experience preferred
  • Two or four-year degree in hospitality-related field preferred
  • At least six months of POS system experience preferred
  • Prior cash handling experience required
  • Must be a United States citizen or possess a valid work permit
  • Must be at least 21 years of age
  • Must have a valid driver’s license and meet resort driving standards
  • Must be able to read, write, and speak English
  • Must have excellent basic math skills
  • Must possess a valid OLCC card upon hire
  • Must possess a valid Food Handler’s card upon hire
  • Must have excellent computer skills, including strong working knowledge of Microsoft Office programs
  • Must have excellent leadership and communication skills
  • Must be a positive example for staff and demonstrate excellent phone etiquette
  • Must be able to work well under pressure and follow instructions accurately
  • Must be highly detail-oriented and able to work in a fast-paced environment
  • Must have excellent listening skills and the ability to resolve problems diplomatically
  • Must be professional in appearance and demeanor
  • Must foster a teamwork environment
  • Ability to work a flexible schedule, including evenings, weekends, and holidays
  • Must have a passion for creating an exceptional experience for all guests

Working Conditions

  • Must be able to stand and walk throughout the shift
  • Must be able to remain seated for multiple hours
  • Must be able to occasionally lift and carry up to 25 lbs at shoulder height and push/pull up to 75 lbs
  • Must be able to perform simple grasping, fine manipulation, and repetitive hand & arm movements frequently; squeezing and overhead reaching occasionally
