About the role
Perform various clerical duties in support of the Loan Records department. Work Monday – Friday, 8:00 AM – 5:00 PM; additional hours as necessary to meet department objectives.
Responsibilities
- Maintain a good working relationship with all bank employees and demonstrate the ability to work independently
- Contribute as a team member to the success of the department and organization
Commercial Loans
- Verify documents for new and modified commercial loans
- Identify missing documents, signatures, dates, and collateral for renewal tracking
- Set up tracking of document exceptions and collateral in tickler systems
- Prepare loan documents for scanning; perform image quality control; retain required originals; destroy remaining physical documents
- Import, file, retrieve, and research loan documentation
- Research and resolve questions from internal and external customers
- Assume additional duties as required
Consumer Loans
- Set up tracking of document and collateral exceptions for consumer loan exception reports in tickler systems
- Prepare loan documents for scanning; perform image quality control; retain required originals; destroy remaining physical documents
- Import, file, retrieve, and research loan documentation
- Research and resolve questions from internal and external customers
- Assume additional duties as required
Document Imaging and Quality Control
- Image loan documents, tax receipts, participation shadow files, insurance policies, trailing loan documents, and system maintenance forms
- Index documents to designated loans
- Perform image quality control; retain required originals; destroy remaining physical documents
- Review new account source and name-change reports
- Request FNMA paid loan notes from BNY Mellon
Collateral Insurance
- Sort incoming insurance mail by new policies, renewals, cancellations, and reinstatements
- Index documents to designated loans and perform image quality control
- Review collateral insurance policies for required information
- Format Excel spreadsheets for tracking collateral insurance
- Work insurance reports and update tickler systems for renewal policies on consumer loans
- Follow up on cancellations with agents and lenders
- Prepare hazard-force-placed checklists and flood calculation worksheets for lapsed or insufficient insurance on consumer loans
- Submit transmittals for force placement of insurance on consumer loans
- Produce customer form letters in Microsoft Word
- Import, file, track, retrieve, and research consumer loan documentation
- Research and resolve questions from internal and external customers
- Assume additional duties as required
Paid Loans
- Review paid-loan reports and pull physical loan folders for processing
- Release collateral held on loans: vehicle titles, assignment of life insurance, brokerage or stock, and termination of UCC filings
- Prepare partial real estate releases and mortgage/assignment-of-rent satisfaction pieces for lien satisfaction at courthouses
- Update collateral tracking items in tickler systems
- Calculate prepayment penalties and prepare loan payoff quotes/letters
- Issue letters of guarantee of vehicle title
- Produce and mail paid-loan letters to borrowers
- Import, file, track, retrieve, and research loan documentation
- Perform image quality control; retain required originals; destroy remaining physical documents
- Research and resolve questions from internal and external customers
- Assume additional duties as required
Requirements
- High school diploma or equivalent
- Up to one year of general experience
Physical Demands
- Operate keypad devices or office equipment: 90% of the day
- Stand 10% of the day (includes bending)
- Sit 90% of the day in a straight position
- Walk 5% of the day at slow speed
- Routinely lift 10 lbs; occasionally lift and/or move up to 25 lbs

Pay
Salary range: $15.00 – $22.21 per hour (rates may vary by location, market data, experience, education, and position-specific skills).
