Key Responsibilities
- Document Preparation: Prepare and meticulously format legal documents, including briefs, pleadings, and correspondence, ensuring compliance with court and firm standards.
- Court Filings: File state and federal court filings with precision, both electronically and traditionally, ensuring all documents are submitted correctly and on time.
- Client/Matter Management: Prepare and process new client/matter requests.
- Document Management: Regularly update and maintain client files electronically within the firm's document management system, ensuring all information is current and accessible.
- Docketing: Maintain attorney calendars through Milana and Outlook (i.e. scheduling appointments, calendaring due dates, etc.).
- Meeting and Travel Coordination: Arrange meetings and conference calls; may order meals and equipment as requested. Coordinate travel arrangements for assigned attorneys.
- Timekeeping, Billing, and Expense Reimbursements: Enter and review timekeeper entries, applying correct litigation codes as necessary, and prepare expense reimbursement requests in a timely manner.
- Vendor Management: Review and ensure accuracy of vendor invoices; prepare accurate check requests and timely submit invoices for payment to client or accounting.
- Overflow and Backup Support: Provide assistance to paralegals, attorneys, and visitors, ensuring smooth operations in the absence of assigned secretaries.
Requirements
- Accurately format documents according to firm standards, including table of contents and authorities.
- Experience with state and federal court filings, both manual and electronic.
- Excellent verbal and written communication skills.
- Proficient in MS Outlook, Word, Excel, PowerPoint, and office equipment; experience with iManage a plus or similar document management systems, Milana (or similar docketing system), Acrobat, Best Authority and ALN Forms.
- Aderant Expert Time is also a plus.
- High school diploma or GED required (college degree is preferred, but not required).
- Five years of experience as a legal secretary required; labor and employment experience is preferred, but not required.
Pay
The expected salary range for this California position is between $46.00 and $51.00 per hour. Actual base pay within this range will be determined by several components, including but not limited to, location, relevant experience, internal equity, skills, qualifications, and other job-related factors permitted by law.
