About the Role

The Client Service Specialist (CSS) provides legal administrative support to a team of attorneys, including the Office Managing Partner, using specialized knowledge of assigned practice area(s). The CSS works in a team-oriented environment to deliver high-level service to internal and external clients.

Responsibilities

  • Provide superior client service by answering and screening calls courteously and timely, and assisting clients as needed.
  • Work closely with attorneys and clients to ensure seamless information transfer and manage client-specific data.
  • Manage workflow of assigned tasks and projects, prioritizing to meet deadlines and coordinating with other support services.
  • Manage attorney calendars, assist in meeting deadlines, and coordinate attorney and/or client travel arrangements.
  • Prepare legal documents, memoranda, and correspondence from draft or dictated text.
  • Create, edit, format, and proofread documents, spreadsheets, and presentations with high accuracy.
  • Assist multiple attorneys as a primary assignment and provide backup/PTO coverage for other CSS team members.
  • Transmit legal documents to clients, witnesses, and court officials via electronic filing, fax, email, mail, or messenger.
  • Process new business requests, including opening/closing matters, preparing conflicts submissions, and maintaining client case files.
  • Calendar critical deadlines and maintain accurate calculations in a calendaring database.
  • Collaborate with Legal Team Assistants and other resources to complete tasks and projects.
  • Adhere to firm policies, procedures, and standards while maintaining confidentiality.
  • Perform other related duties as assigned.

Requirements

  • Associate’s Degree preferred; Bachelor’s Degree a plus. Applicable work experience may substitute for a degree.
  • Minimum of five (5) years of related experience at a law firm or legal/corporate department.
  • Strong experience in Florida local and state electronic court filing procedures.
  • Working knowledge of Florida state/local court filing procedures and federal court rules.
  • Ability to gather and summarize data, solve administrative problems, and prioritize work in a fast-paced, deadline-driven environment.
  • Excellent verbal and written communication skills, with a professional demeanor and high interpersonal skills.
  • Proven proficiency in legal terminology and experience in related practice area(s).
  • Experience with court/administrative agency filings and meeting deadlines.
  • Keyboarding skills of 60 wpm or higher.
  • Intermediate-level proficiency in MS Office Suite (Outlook, Word, Excel, PowerPoint).

Work Environment & Physical Demands

This role operates in a clerical, office setting and routinely uses standard office equipment. Physical requirements include medium work: exerting physical strength to lift, carry, push, or pull objects weighing 20 to 50 pounds frequently, and up to 10 pounds occasionally.
