About the Role

The Legal Support Specialist provides comprehensive administrative and operational support to attorneys and legal teams, ensuring efficient case management and compliance with firm procedures. This role requires a detail-oriented professional with strong organizational skills and a solid understanding of legal terminology and processes.

Responsibilities

  • Prepare, format, and finalize legal documents, correspondence, and filings under attorney supervision.
  • Maintain and organize case files, both physical and electronic, ensuring accuracy and confidentiality.
  • Coordinate and schedule meetings, depositions, hearings, and court appearances, managing calendars and deadlines.
  • Assist with legal research and fact-checking using online databases and other resources.
  • Liaise with clients, courts, opposing counsel, and internal teams to facilitate communication and document exchange.
  • Process invoices, track expenses, and assist with billing procedures as required.
  • Monitor and ensure compliance with court rules, deadlines, and procedural requirements.
  • Provide general administrative support, including scanning, copying, mailing, and filing.

Requirements

  • High school diploma or equivalent; associate’s or bachelor’s degree in paralegal studies, legal administration, or related field preferred.
  • Minimum of 2 years of experience in a legal support role, preferably in a law firm or corporate legal department.
  • Proficiency with Microsoft Office Suite (Word, Excel, Outlook) and legal software (e.g., Clio, LexisNexis, Westlaw).
  • Strong understanding of legal terminology, procedures, and documentation.
  • Excellent written and verbal communication skills, with a professional demeanor.
  • Ability to prioritize tasks, manage deadlines, and work efficiently in a fast-paced environment.
  • High level of discretion and commitment to maintaining confidentiality.
  • Detail-oriented with strong proofreading and editing skills.
