Position Summary
The Legal Support Specialist provides high-level administrative and legal support to multiple attorneys within the litigation practice group. This role requires a dependable, proactive professional who is comfortable managing a broad range of responsibilities that support attorneys’ day-to-day workflow.
Key Responsibilities
- Provides day-to-day administrative support to assigned attorneys, developing familiarity with their practice areas, clients, and active matters.
- Edits, proofreads, and processes legal documents upon request of assigned attorneys, including preparing correspondence, memoranda, documents, presentations, or other practice specific documents.
- Helps create and maintain tracking tools for client contact lists, business development activities, deadlines, status of assignments, and provide updates upon request.
- Provides status updates to attorneys on deadlines, tasks, and progress. Escalates issues or delays as needed.
- Fulfills outstanding tasks, documents, or pending approvals ensuring workflow moves forward according to agreed timelines.
- Collaborates with court reporters, process servers, e-discovery vendors, translators, or printing services to ensure timely deliverables and logistics.
- Manages attorney calendars, including scheduling meetings and logistics (e.g., conference rooms, video conferencing, visitor access, and dial-in information).
- Coordinates in-person meetings with clients and other counsel, including scheduling conference rooms, greeting visitors, facilitating food delivery, coordinating IT services, and providing other support as needed.
- Aids with new client matter intake by submitting conflict check requests, opening new matters, and preparing draft engagement letters.
- Conducts basic client and matter research, including use of legal research platforms.
- Supports billing activities, including proofreading and distributing client invoices and assisting with billing and engagement inquiries.
- Coordinates with firm travel agency to book domestic and international travel arrangements.
- Prepares and submits expense reports and reimbursement requests accurately and timely.
- Organizes and maintains electronic and paper legal files in accordance with designated filing standards.

Skills & Competencies
- Computer proficiency in Windows-based software and Microsoft Office Suite applications including Word, PowerPoint, Excel and Outlook – strong Word and PowerPoint skills a must.
- Demonstrates a basic understanding of artificial intelligence (AI), including core capabilities, limitations, and importance of data privacy, accuracy, verification, and ethical considerations within a professional services environment.
- Familiarity with or willingness to learn AI platforms (e.g., Microsoft Copilot, ChatGPT, or similar tools) and incorporate them responsibly into day-to-day workflows to enhance daily work tasks as appropriate and/or directed.
- Proactive approach to learning and adapting to emerging AI and related technologies and contributes to a culture of innovation.
Education & Prior Experience
- Minimum 5 years of experience in project management and client support; experience at a law firm or other high-pace professional services firm is preferred.
- Bachelor’s Degree or equivalent experience is preferred.
- Experience with litigation practices is a plus, but training will be provided for candidates with relevant transferable skills.
The Expected Pay Range For This Position Is $41.38 - $48.5 per hour
Actual pay will be adjusted based on experience, location, and other job-related factors permitted by law.
