About the Role
Addison Group is partnering with our client to hire a skilled Legal Secretary to support attorneys within a busy legal environment. This role is responsible for providing administrative and clerical support, ensuring efficient day-to-day operations, and assisting with the preparation and management of legal documentation. The ideal candidate is highly organized, detail-oriented, and experienced in handling sensitive information with discretion.
Key Responsibilities
- Manage incoming calls for attorneys and legal staff, taking detailed and professional messages
- Prepare, format, and proofread legal correspondence and documents across various practice areas, including real estate matters
- Coordinate the setup of new client files, including conflict checks and file organization (both digital and physical)
- Draft and process client engagement documentation and ensure proper execution
- Assist with document creation and revisions using industry-specific software and tools
- Support attorneys with filings and documentation related to state and regulatory requirements
- Organize and maintain legal records, including title documents and supporting materials for review
- Compile and finalize closing binders and related documentation
- Handle incoming and outgoing mail, ensuring timely and accurate distribution
- Enter attorney and paralegal billable time into the appropriate system
- Maintain organized filing systems and ensure documents are stored accurately
- Provide general administrative and client support as needed
- Perform additional duties to support the legal team and office operations
Qualifications
- 3–5 years of experience in a legal administrative or legal secretary role (commercial real estate experience preferred)
- High school diploma or equivalent required
- Proficiency in Microsoft Office applications, including Word and Excel
- Experience with document editing and redlining, including working with PDF and Word conversions
- Strong typing accuracy and familiarity with general office equipment
- Excellent written and verbal communication skills
- Ability to manage multiple priorities and meet deadlines in a fast-paced environment
- Experience with time entry and client interaction
- Familiarity with legal terminology, particularly within real estate documentation
- Strong organizational skills and attention to detail
- Ability to work both independently and collaboratively
- Professional demeanor with a high level of reliability and accountability
- Flexibility to work additional hours when needed
Pay & Schedule
- Compensation: $60,000 – $70,000 annually
- Work Schedule: Monday – Friday, 8:00 AM – 5:00 PM (Onsite)
