About the role
We currently have an opening for a Receptionist in our Los Angeles office. The candidate must have the ability to work under pressure, respond quickly to changing demands, and be self-motivated with the ability to work independently as well as part of a team. This position is Monday through Friday in-office during normal business hours. Responsibilities
- Answer a multiple-line phone system promptly and courteously, manage calls by routing them to the proper extensions across multiple office locations
- Maintain friendly and professional customer interactions via telephone and internet chat
- Support continuity among the work team by documenting and communicating actions, irregularities, and continuing needs
- Assist in catering ordering, setup, and clean-up
- Maintain conference rooms and administration calendars
- Interact professionally with both internal and external clients on all levels
- Handle incoming and outgoing mail, deliveries, and courier services
- Assist in preparing and organizing legal documents, correspondence, and files
- Order and maintain office supplies
- Maintain confidentiality and demonstrate professional behavior and judgment in dealing with delicate situations
- Escort or direct visitors and clients to conference rooms as appropriate
- Represent the firm’s professional image by maintaining a neat and organized appearance at the reception desk and surrounding areas
- Assist visitors and announce their arrival by immediately notifying appropriate personnel
- Assist attorneys with various tasks, such as outside reservations and scheduling couriers
Requirements
- At least 3 years of experience in customer service
- Law firm experience preferred, but not required
- Professional appearance, enthusiastic attitude, and clear and courteous telephone voice
- Ability to communicate clearly, tactfully, and professionally with all lawyers, employees, and visitors
- Basic computer skills and proficiency in Microsoft Office Suite (Outlook, Word, and Excel)
- Excellent time management skills with a proven ability to meet deadlines
- Ability to effectively solve problems
Pay
The pay range for this position is $25.00 to $27.50 per hour, depending on years of experience.
