About the role
Michael Best & Friedrich LLP is seeking a Faith-Based Legal Practice Coordinator to join our Raleigh, NC office. This role supports the legal and administrative management of attorneys within the Faith-Based industry group.
Responsibilities
- Serve as a central point of coordination for the Faith-Based industry group, ensuring client updates are collected, accurate, and reflected consistently across tracking tools.
- Maintain excel and Smartsheet trackers to support client outreach efforts and business development initiatives.
- Carefully coordinate matter intake, including client intake forms, submitting new business intake requests, and matter creation tracking across internal systems, ensuring matters are set up accurately and consistently.
- Support CourtAlert setup and maintenance, including case creation, basic case detail validation, and docket-related updates.
- Support ongoing client maintenance and quality control, by synthesizing email communications, providing status updates, and translating key information into organized client project trackers including creating new project trackers as needed.
- Monitor case workflows for completeness, identify gaps, and escalate issues as needed.
- Coordinate the organization and transfer of documents into iManage.
- Serve as a day-to-day coordination point of contact for Faith-Based related questions from attorneys, legal assistants, and Operations.
- Support reporting and tracking needs, including visibility, basic metrics, and coordination with Finance.
- Develop and maintain working knowledge of Faith-Based specific workflows, timelines, and client expectations.
- Promote consistency, standardization, and scalability across administrative and legal support tasks.
- Identify opportunities to streamline, document, or reassign repetitive support work.
Administrative Support Responsibilities
- Manage attorney calendars for deadlines, meetings, video calls and travel plans; and proactively schedule meetings with clients and others.
- Maintain dockets in CourtAlert, including deadline tracking and updates.
- Electronic court and regulatory filings in multiple jurisdictions including, but not limited to, Federal Court, NC Business Court, NC eCourts, NC Secretary of State.
- Prepare, format, and finalize legal documents, correspondence, and standard case templates.
- Review, route, and file incoming mail and electronic correspondence appropriately.
- Maintain and organize electronic and hard-copy files, as applicable.
- Process new matter documentation, including conflict checks, intake support, and engagement materials.
- Compose and prepare confidential correspondence on behalf of attorneys.
- Enter attorney time and assist with related timekeeping tasks as needed.
- Prepare and submit attorney and client-related expense reports and reimbursements.
- Research and book travel arrangements and conference registrations.
- Communicate with clients regarding matters, billing, and status updates as directed.
- Cook up and transfer Faith-Based related work to attorneys.
- Aid attorneys with document execution, signatures, filing logistics, and related administrative support.
Requirements
- Minimum Requirements: Associate’s degree, bachelor’s degree, or relevant legal/administrative training preferred.
- Prior experience in a law firm, legal department, professional services environment, or other administrative/operations-focused role preferred.
- Experience in process-driven environments requiring accuracy, organization, and coordination across stakeholders strongly preferred.
- Experience supporting attorneys or cross-functional professional teams preferred.
- Litigation/eFiling experience strongly preferred.
- Ability and willingness to work in the office four to five days per week.
- Professional demeanor and willingness to work proactively as part of a team across various practice groups.
- Valid authorization to work in the U.S.
Knowledge, Skills, and Abilities
- Strong attention to detail and ability to manage multiple time-sensitive tasks with accuracy.
- Excellent organizational, written, and verbal communication skills.
- Interest in and understanding of tax exempt faith based organizations and the environment in which they operate.
- Ability to coordinate and track work across multiple systems, workflows, and stakeholders.
- Ability to identify gaps, follow up proactively, and escalate issues appropriately.
- Proficiency in Microsoft Office, particularly Outlook, Word, and Excel, and ability to learn and use legal, intake, docketing, document management, and billing-related systems.
- Ability to support process consistency, standardization, and continuous improvement in administrative and legal support workflows.
- Strong customer service and relationship management skills when working with attorneys, clients, and internal business partners.
- Ability to use AI-enabled tools to improve administrative efficiency, including summarizing information, organizing data, and supporting consistent workflows, while maintaining attention to detail and confidentiality.
