Legal Operations Specialist
Responsibilities
- Review and process legal intake requests submitted by the business.
- Prepare, route, and track NDAs, sponsorship agreements, amendments, renewals, and other templated agreements.
- Confirm required business information, approvals, and supporting documents are included before routing agreements for review or signature.
- Cook DocuSign routing and follow up on signatures.
- Maintain contract records and help ensure fully executed agreements are saved in the appropriate system.
- Track contract status and follow up with internal business partners as needed.
- Escalate non-standard terms, missing information, or legal questions to the appropriate attorney or Legal team member.
- Help maintain matter records and update matter status information.
- Support monthly and quarterly litigation reporting.
- Aid in tracking settlements, payment status, and related documentation.
- Coordinate with Accounts Payable on settlement or outside counsel payment issues, as needed.
- Support insurance claim tracking, notices, and related records.
- Aid in coordinating eDiscovery collections and maintain related repositories.
- Monitor Legal team mailboxes and calendars and route requests to the right person.
- Support compliance-related tracking, reporting, and system updates.
- Aid in vendor management, invoice tracking, and outside counsel records.
- Pull data and provide support for budget reports and other Legal team reporting needs.
- Provide general administrative support, including scheduling, follow-up, and maintaining trackers.
Requirements
You Have Experience supporting a legal, contracts, compliance, procurement, operations, or corporate administrative function.
Comfort working with contracts and legal documents, especially NDAs or other templated agreements.
Strong attention to detail and the ability to manage a steady volume of requests.
Good judgment around when to move something forward and when to escalate.
Strong follow-up skills.
Ability to work with attorneys, business teams, Finance, AP, Compliance, and outside counsel.
Comfortable using systems to track work, update records, and manage documents.
Professional communication style, both written and verbal.
Ability to handle confidential information carefully.
Qualifications
You May Have
Paralegal certificate or prior paralegal experience.
Experience in an in-house legal department.

Pay
Annual Salary: $100,000.00 - $105,000.00
