We are looking for a skilled legal operations and paralegal specialist to support contract administration and broader legal workflows in New York, New York. This role is central to keeping legal processes organized, improving efficiency across a lean legal function, and coordinating documentation from initial intake through final execution and ongoing maintenance.
Responsibilities
- Oversee the full contract administration process, coordinating documents from request intake through signature, filing, and follow-up activities.
- Maintain accurate and accessible records for agreements, entity documents, and related legal materials while monitoring renewal dates, amendments, expirations, and other key milestones.
- Support corporate governance and compliance activities by updating records, managing required filings, and maintaining calendars for recurring obligations.
- Work closely with attorneys, outside counsel, and internal stakeholders to facilitate contract review and resolve routine legal process questions.
- Administer the lifecycle of software and vendor agreements, including intake, tracking, renewal planning, usage reviews, and support for commercial discussions.
- Partner with operations, finance, and technology stakeholders to coordinate vendor onboarding, security-related reviews, and budget visibility for legal and business agreements.
- Evaluate existing legal workflows, apply templates and playbooks effectively, and recommend practical improvements that increase consistency and efficiency.
- Identify issues within contracts and legal requests, prepare clear summaries, and escalate matters appropriately when attorney input is required.
Requirements
- At least 3 years of experience in paralegal work, contract management, legal operations, or a closely related field.
- Demonstrated knowledge of commercial contracts, contract administration, corporate governance, and legal recordkeeping practices.
- Strong organizational and project coordination skills with the ability to manage competing deadlines in a fast-moving environment.
- Excellent written and verbal communication skills, including careful proofreading and the ability to present issues clearly and concisely.
- Sound judgment and a proactive approach to problem-solving, with the ability to work independently and know when to elevate legal matters.
- Proficiency with Microsoft Office and Slack; experience with tools such as Airtable, Carta, corporate legal management systems, or AI-enabled platforms is a plus.
- Confidence working with cross-functional teams and external partners across different levels of an organization.
- Ability to operate effectively in ambiguous situations while balancing close attention to detail with broader legal and business priorities.
